Two part time posts have become available in the admin team working for the Community Addictions Unit based at Cardiff Royal Infirmary.

We are looking for someone who is self motivated and who demonstrates outstanding attention to detail. Proven computer knowledge, organisational skills and the ability to cope well under pressure are all a requirement for the post.

As you will be the first point of contact and will be required to liaise with the patient and a wide range of colleagues, clinicians and nursing staff, excellent customer service skills are paramount to this role, as well as having good written and verbal communication skills. You must be able to demonstrate the ability to deal with the public in a professional and approachable manner.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

1 Receive and deal with incoming and outgoing mail.

To answer all incoming telephone calls to the team, ensuring calls are correctly transferred to relevant members of staff. Ensure accurate and detailed messages are taken in the absence of staff members.

To undertake other routine departmental tasks including scanning archiving and maintaining accurate filing systems

Act as point of contact for patients visiting the Unit (both by telephone and face to face contact) who present with challenging or complex needs; and ensure that all patients and visitors are treated with dignity and respect. Reimburse travelling expenses for patients on appropriate benefits.

To co-ordinate the PARIS Electronic Appointment Booking System to support the efficient running of the daily outpatient clinics. 6 Reassign any cancelled or Did not Attend (DNA’s) to future clinics within the boundaries of agreed booking rules

To accept referrals electronically and verbally from inpatient services at University Hospital of Wales and University Hospital Llandough on behalf of the Substance Misuse Liaison Team. Enter information on the PARIS system and use clinical portal for accurate checking of details

Ensure that correspondence, case notes, files are kept up-to-date and available as required by the Team.

To undertake typing duties including appointment letters, hand-written reports. To input accurate data on the client record system - PARIS on a daily basis.

To support the day to day running of the clinic; ensuring any maintenance or health and safety issues are dealt with appropriately.

Provide cover for administrative and secretarial colleagues, as and when required.

Co-ordinate the booking of counselling and meeting rooms.

Maintain confidentiality of data.

Responsible, in conjunction with all members of the team, for the security of the clinic.
