Job Purpose
To provide an administrative support service across the organisation, to assist in the smooth running of Outreach Support service provision and take a proactive role in relation to its day-to-day functions.
Main Duties
- Produce all types of word processing, from handwritten and recorded sources, drafting routine correspondence as required, and tracking responses to correspondence and other paperwork within appropriate timescales;
- Support meetings and minute taking, to ensure that the whole process runs smoothly and that action points are followed timely;
- Update, modify and retrieve data on both manual and computerised systems, preparing standard and non standard reports, cross checking data held on different systems to ensure accuracy and developing new systems to meet information needs in order to provide accurate and reliable information, on which management decisions can be made;
- Provide support in more complex administrative task as requested;
- Support managers and duty staff with client care issues, for example, preparing new client files and assist with induction, diarising appointments, including arranging transport for clients, undertaking basic research using the internet, supporting outreach, and floating service provision as requested by management.
Accommodation Related Tasks
- Monitor non-payment of rent and take action in line with the agreed policy and procedure on arrears;
- Ensure tenants understand their tenancy agreement, their rights and obligations, and report any breaches;
- Liaise, consult with and actively support tenants meetings, encouraging participation in decision making processes.
Maintenance Related Tasks
- Liaise and follow up/chase maintenance repairs; and other related tasks as required, monitoring the performance of external contractors.
- Liaise with maintenance team in regard to fire and other equipment been regularly serviced, tested and complies with health and safety requirements.
- Support with audit of risk assessment and hazard reporting in line with health & safety policy and procedures.
Staff & Team Working
- Work within a team, supporting colleagues and attending team meetings, recording and sharing information appropriately and confidentially;
- Keep up to date with issues relevant to housing & support, welfare benefits and other relevant legislation;
- To undertake all core training required for this post and other training and professional development activities as required;
- Undertake other delegated tasks and responsibilities as required by management.
Outreach Support
- To work closely with the Service Manager and outreach team to ensure that Summit Lodge Quality Assurance Policies and Procedures are understood and carried out.
- To contribute towards the smooth working of the Outreach team by having a positive and supportive relationship with colleagues and others involved in the support of outreach/floating service users.
- Actively participate and implement continuous business improvement within the areas of responsibility bringing to your line manager any innovative opportunities and practice that may enhance this service.
- Bring to the attention of your line manager any matter you feel warrants attention.
- Maintain effective administrative and reporting systems for which you are responsible.
- Liaise with appropriate Service Users to promote quality care, protection, and well-being of all Service Users.
**Salary**: £18,525.00-£23,400.00 per year
