For over 25 years React Industrial Solutions have been supplying the industrial market sector with quality maintenance, repair, and overhaul (MRO) products including bearings, mechanical power transmission, pneumatics, hydraulics, tools, health and safety equipment, lubricants, engineering, fabrication and mechanical support services.

We have multiple branches across the UK with our head office based in Bicester. We are looking for someone with positive attitude and is prepared to rise to challenges to join our very busy and motivated team.

The normal place of work is Unit 6, Axis Junction 9, Middleton Stoney Road, Bicester, Oxfordshire, OX26 2FL, UK, or other locations as determined by the Company.

This role involves assisting the company to handle all aspects of business compliance, this includes overseeing on-site operations, logistics, supplier and customer documentation, and providing support to staff at all organisational levels.

This role will involve a wide variety of administrative tasks including reviewing, collating, and following up on outstanding documentation by liaising both internally and externally, and the maintenance of the QMS and procedures (external training will be given).

**1. Quality and Compliance: (External training will be available)**
- Collaborate with managers and staff to understand performance metrics and

implement necessary changes to policies and practices.
- Develop and support systems to monitor performance within care and

support services.
- Updating information in the Quality Management System (QMS) and maintaining our ISO9001 approval and annual audit readiness.
- Provide guidance to staff on policies and standards set by regulatory bodies.
- Ensure up-to-date policies and associated documents are accessible and

used effectively in practice.
- Promote and share best practices across care and support services.
- Conduct quality development workshops as needed.
- Take ownership of departmental projects or functions as agreed with the

Service Manager.
- Taking a lead on completing questionnaires required by both customers and suppliers.
- Completing returns required by external stakeholders.
- Liaising across the business to ensure that outstanding information is requested from clients and/or third parties and along with system updates.
- Maintaining registers including site visitors, gifts and hospitality, data protection (GDPR), development plans, training plans and risk register matters.

**2. Compliance Audits**:

- Conduct pre-audit research and gather data to prepare for audits.
- Perform Quality and Compliance Audits in alignment with regulatory,

contractual, and company requirements.
- Record, analyse, and report findings from audits and quality reviews.
- Develop action plans based on audit results and drive continuous

improvement across the organisation.

**3. International Logistics Coordination and Purchasing support**:

- Collaborate with cross-functional teams to manage international logistics

processes.
- Coordinate shipments, transportation, and customs clearance.
- Ensure timely delivery of goods and compliance with international trade

regulations.
- Address any logistics-related challenges promptly.
- Dealing with ad hoc queries, including product data sheets, certificates of conformity, delivery notes, material certificates, and full product/process traceability.
- Handling of any Non Conformance report and quality matters.

**4. Health and Safety: (External training will be available)**
- Integrate health and safety practices into all operations.
- Ensure compliance with health and safety regulations in all activities.
- Promote a safety-conscious culture among staff.
- Implement risk assessments and preventive measures.
- Ensure that all incidents and near misses are meticulously documented, and preventive measures are implemented to prevent recurrence.

**5. Other Ad Hoc Administrative tasks**:

- Assisting the team with both new business and growth projects.
- Administrative tasks involving support of office processes and holiday/sickness cover when necessary.
- Ad hoc research tasks.
- Assisting with compliance projects.
- Strong organisational skills
- Ability to think and use initiative
- Able to cope under pressure and prioritise demands.
- Attention to detail and ability to analyse complex data.
- Good interpersonal skills
- Prior knowledge and working within an ISO9001 environment
