**Job Purpose**
To provide effective and efficient administrative support to Careers and Global Opportunities, acting as first point of contact for, students, employers, graduates, partner institutions, academics and other enquirers. Manage and maintain administrative processes relating to a range of programmes delivered by Careers and Global Opportunities.

**Main Duties and Responsibilities**-2. Follow agreed criteria to review and process graduate and employer accounts, vacancies and events within Glasgow Careers portal. Upload data to Glasgow Careers and create reports to agreed criteria.
3. Provide administrative support to the Employer Engagement Team for preparation of recruitment fairs and employer activity on campus. Ensure all equipment is collated, shipped and returned advising of any breakages and loss. Physically handle and transport small equipment to various venues on campus. Support the delivery of virtual events via Zoom.
4. Meet and greet employers at events on campus and assist Event Managers at recruitment fairs, including set up and close down.
5. Process purchase orders, sundry payments and sales invoices in line with University policy and procedure.
6. Reconciliation of budgets and financial transactions in line with University policy and procedure..
7. Using mail merge and Forms process payments and update records for scholarship awards
8. Undertake other duties as commensurate with the post as required by the line manager.

**Knowledge, Qualifications, Skills and Experience**

**Knowledge/Qualifications**

**Essential**:

A1 Either: Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role/via relevant work experience
A2 Good working knowledge of MS Word, Outlook, and Excel including mail merging
A3 Knowledge of databases

**Desirable**:

B1 Knowledge of Target Connect
B2 Knowledge of MyCampus
B3 Knowledge of basic accounts

**Skills**

**Essential**:

C1 Ability to communicate effectively with a wide range of people, clarify requirements and respond effectively to users’ needs
C2 Proven ability to work under pressure and to strict deadlines
C3 Excellent organisational skills
C4 Proven ability to use initiative and where appropriate, provide guidance or refer issues timeously to aid resolution
C5 Able to work autonomously as well as be an effective team member
C6 Ability to pay attention to detail
C8 Proven ability to demonstrate diplomacy, tact and discretion
C9 Ability to prioritise workload

**Experience**

**Essential**:

E1 Experience of providing administrative support
E2 Experience of responding to customer enquiries

**Desirable**:

F1 Experience working with students in an educational setting
F2 Experience of Agresso

**Terms and Conditions**
Salary will be Grade 4, £21,197 - £23,715 per annum.
This post is full time (35 hours p/w) and open ended.
