Position: Training & Recruitment Coordinator

**Location**:Glasgow

**Department**:Gas Operations

**Reports To**:Training & Recruitment Manager

**Position Summary**
The Training & Recruitment Coordinator is responsible for coordinating shore-based training and assisting with the recruitment of Engineering Officers who are managed from the Glasgow office.

**Major Responsibilities**
- Treat safety and environmental compliance as a top priority.
- Training Coordination _
- Scheduling and booking of all seafarer shore-based training based on STCW requirements and competency gap training received through CMS review, internal and external audits.
- Follow up with seafarers, make travel/flight arrangements and prepare and issue customs and immigration, visa letters and travel documents necessary for sea staff attending training.
- Enter and maintain accurate entries of seafarer training activities and certification into the Marine HR Crew Management System.
- Admin responsibility for Seafarer Conferences, including contacting sea staff to confirm attendance in coordination with MHR, preparation of agenda, and preparing and issuing joining documentation as necessary.
- Responsible for assisting with and maintaining training plans for newly hired and newly promoted seafarers.
- Administering seafarer cross training program in liaison with Fleet Personnel Manager and MPOs.
- Issuing, approving and accurately coding invoices to ensure correct allocating of costs.
- Approving and accurately coding training expenses.
- Assisting with preparation of team training budget.
- Issuing and tracking Glasgow Training Centre course certificates.
- Providing after office hours coverage as appropriate, normally to assist seafarers who are travelling to/from training courses.
- Prepare Training Calendar (liaise with Glasgow Training Centre and other external Training Providers re course schedules/availability)
- Deliver Training Session during Seafarer Induction.
- Complete Quarterly Training Reports.
- Recruitment Duties _
- Ensure compliance with the recruitment policy and procedure.
- Administer Video Screening and English Tests to potential new officers when required.
- Administer onboarding of successful applicants into Marine HR Crew Management System and carry out initial document checks.
- Approve and accurately code recruitment invoices.
- Support Cadet Officer wherever required.
- Any other tasks as delegated by Training & Recruitment Manager.
