3. This post requires flexibility with regard to start and finish times. Shifts are rotated every 2 months and every rotation shall always include at least one shift per week which starts at 12 noon and finishes at 8pm (late shift). Late shifts are not negotiable - everyone must work the late shift.
4. There are no night shifts.
5. With the exception of the late shift all other shifts generally commence between 8am and 10:00am with a 30 minute break for lunch.

We are looking for cheerful and motivated people with great interpersonal skills to become part of our Outpatient Receptionist team at London North West University Healthcare NHS Trust. The outpatient areas are busy and provide a focal point for receiving patients and visitors to the hospital. The role is essential in capturing clinical activity data and the person needs to be flexible and adaptable to meet competing priorities and changing working practices.

You will need to be able to work in a calm, logical and methodical way but be able to multi-task and you must have effective communication and IT skills.

You should have worked in a customer focused environment and previous experience in a healthcare setting would be an advantage although not necessary.

You will be required to have a good level of education and have experience in Administration and Clerical duties with good experience of using MS Word and Excel. Full training will be given on IT systems.

This is a full-time post working 30 hours per week. Please note rota allocation hours can be between 08:30 and 20:00.

JOB SUMMARY
- Work as part of the Outpatients Department multi-disciplinary team, providing an efficient administrative and Outpatient reception service
- Communicate with patients, visitors and staff in a professional and courteous manner
- Communicate effectively using all available forms of communication
- Record all outpatient attendances (cashing-up) on the Patient Access System
- Book follow-up appointments, discharge back to the GP and/or add to waiting lists
- File documents according to Information Governance policy
- Maintain an uncluttered and tidy reception area
- Maintain reception areas in a hygienic and sanitary condition including cleaning and wiping of surfaces
- Support the Service Manager and Supervisors in developing a patient focused service

KEY RESPONSIBILITIES
- Use your excellent written and verbal communication and interpersonal skills to interact with patients, their carers and relatives, visitors and staff
- Be a calm, supportive, flexible and adaptable member of the team
- Deal with all enquiries in a professional and co-operative manner
- Respond politely but firmly with people behaving antisocially and report any verbal abuse
- Provide non-clinical advice and guidance regarding appointments
- Process patient data and appointments using the Trust Patient Access System (PAS)
- Treat patients and their information/data with tact, discretion and confidentiality, in accordance with the Trust Information Governance Policy and the Data Protection Act
- Record outpatient attendances, Did Not Attends (DNAs) and Could Not Waits (CNWs) on PAS within stipulated timeframes to ensure that the Trust receives appropriate funding
- Ensure all patient information is complete and up to date on the Trust PAS
- Identify, investigate and correct PAS discrepancies ensuring GP and personal contact details are accurate and up to date
- Follow the appropriate processes for audit forms, walk-in patients, booking of BSL interpreters and trans
