Receives messages and requests for information, responds within procedural guidelines or refers to a manager or clinician if necessary. Communicates meeting arrangements to Trust colleagues and external partners. Assists the Team with any review of office or administrative procedures by inviting and collating feedback from clinical and administrative colleagues.

Contributes own ideas and suggestions. Arranges team meetings, send invites, take minutes and disseminate. Co-ordinates diaries, books venues and refreshments and sends out papers and other relevant information. Provides day to day guidance and support on administrative issues and queries.

Authorised to order stationary, other office supplies, clinical and non-clinical stock. Authorised to use clinic budget / call off orders. Ensures that electronic or paper patient, staff and other service records are filed accurately in an easily accessible system and kept secure. To maintain expected standards of office safety and security.

Receives visitors to the service. Responds to queries and requests for information within set procedural guidelines. Attends meetings to take minutes or notes. Writes up meeting records and sends out to all attendees.
