Receptionist/administrator

**Hours**:Full time
**Days**:Monday to Friday, with occasional, mínimal weekend hours offered
**Responsible to**:Practice Manager
**Key Responsibilities**:
- Answer incoming phone calls, transfer calls or deal with callers’ requests appropriately
- Make outgoing calls, as needed
- Assist clients with routine enquiries (e.g. court dates), where able, both in person and by telephone
- Take and pass on accurate messages to colleagues in a timely manner
- Scan, photocopy and print documents, as required
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and noticeboards
- Support the wider team with general administrative tasks as requested
- Support colleagues, providing cover during staff absences
- Order and monitor stationery supplies
- Open, sort and distribute incoming mail and envelope, stamp and post outgoing mail
- Transfer telephones to the out of hours service
- Arrange cover for police station interviews, court dates, etc
- Arrange meetings/appointments, when requested
- Provide administrative support to the Practice Manager in relation to her duties
- Open and update files in Law Fusion (case management system)
- Proactively administer an efficient diary
- Undertake other matters which you are competent to conduct
- Work harmoniously with colleagues and clients of all cultures and backgrounds in accordance with our Equality & Diversity Policy
- Undertake all mandatory training and induction programmes
**Person Specification**
**Qualifications**:
- Educated to GCSE level or equivalent (essential)
- GCSEs Grade C or 4 in English & maths (desirable)
- NVQ qualifications (desirable)
**Experience**:
- Experience of working with the public (essential)
- Experience of working in a criminal defence law firm (desirable)
- Experience of liaising with the police, courts, CPS, expert witnesses, interpreters (desirable)
- Experience of using case management software (preferably Law Fusion) (desirable)
**Skills (all essential)**:
- Excellent communication and interpersonal skills (written and verbal)
- Strong IT skills including use of office, outlook, excel, etc
- Clear, polite, confident telephone manner
- Effective time management (planning, organising and meeting deadlines)
- Able to work using own initiative and as part of a team
- Able to follow office policies, processes and procedures
