**We are looking for a Patient Administration Officer/Medical Secretary to join the team at our state of the art centre based in Cromwell.**

The Patient Administration Officer/Medical Secretary hybrid role will be heavily involved in the organisation and effective running of the overall service provision through effective timely management of all referrals, communications, patient pathways and clinic’s. In addition, this role will provide an efficient, high quality and specialised secretarial support service. This will include maintaining information on the administration systems, processing patient referrals and results, dealing directly with enquiries in person and on the telephone from patients and referrers, liaising with other healthcare providers, and other general administrative and secretarial duties.

As the PAO and Medical Secretary, you will undertake all administrative activities required within the centre, whilst providing a comprehensive secretarial service to support various consultants during onboarding period. This pertains in particular to Consultants new to private practice or new to GenesisCare who may not have medical secretaries.

In order to provide an exceptional service, this role requires navigation of multiple systems simultaneously and accuracy and thoroughness in all patient related activities.

The duties and responsibilities listed below are representative of the Patient Administration Officer / Medical Secretary hybrid role; this list is not exhaustive and the post holder may be required to undertake duties and responsibilities commensurate with the level of the post, to support the smooth running of the service.

**What you’ll do**:
Key areas for the role:

- Handling telephone calls and queries
- Responding to and interacting with a variety of individuals which may include patients, customers, referring physicians, Mayo providers, allied health staff and family members
- Liaising with patients and carers throughout the referral pathway and for clinic appointments
- Scheduling appointments for treatments and clinics
- Dealing with correspondence from Consultant Oncologists, patients and referrers.
- Type clinic letters as required.
- Ensure all letters and follow-up documentation sent to the appropriate recipients
- Response for gathering patient-specific demographic and provider information to accurately assess the nature of the request and determine the suitability of consultant review. This requires understanding of basic medical terminology and clinical pathway requirements.
- Act as first point of contact for all new referrals and clinic appointments
- Process all radiotherapy referrals
- Central point of contact for all radiotherapy referrals (internally and externally)
- Central point of contact for International Patients team and all international patients contacts. This requires onsite presence.
- Liaise with insurance companies to ensure all insurance cover is verified.
- Liaise with consultants, secretaries, radiographers and nursing staff regarding new patient and review clinics, follow-up clinics and during treatment courses
- Coordination of outside medical records, imaging, lab results, etc. are also managed to ensure providers receive all necessary information to meet the needs of the patient
- Appropriately direct all incoming calls and participate in all reception duties
- Often dealing with difficult service users and challenging situations efficiently
- Receive patient referrals and administer in line with the timings and requirements as set out in Trust and National policies.
- Co-ordinate and provide administrative support to the relevant teams to ensure that all the relevant paperwork and clinical information is available.
- Update on all enquiries regarding patients’ care and/or treatment on a pathway from external Trusts and General Practitioners in a timely manner.
- Plan and organise centre multi-disciplinary team meetings/ huddles.
- Action day-to-day issues, ensuring resolution and escalating serious issues to management as appropriate.
- Type clinical letters, which will include medical extensive terminology, as well as discharge summaries or other relevant correspondence and documents are required.
- Ensure patient documents and medical health records are filed regularly and accurately and are available for all clinical episodes.
- Receive and collate reports of investigations such as blood tests, x-rays and further medical opinions and ensure that all necessary reports are assembled before the next clinical appointment of patient.
