We are now seeking a hardworking and organised individual to join our team as a Receptionist and Administrator.
**Job Summary**: As an Estate Agent Receptionist and Administrator at Philip Martin Estate Agents, you will play a pivotal role in ensuring the smooth and efficient operation of our office. You will be the first point of contact for clients and visitors and provide essential administrative support to our team of professionals.

- **Team Player**: You should be able to work collaboratively with our team of estate agency professionals, supporting their needs and contributing to the overall success of the office.
Office opening hours are 9am to 17:30pm Monday to Friday and 9am to 13:00pm on alternate Saturdays.
**Key Responsibilities**:
**Reception and Customer Service**:
- Greet and welcome clients and visitors with a warm and professional demeanour.
- Answer and direct incoming calls and inquiries, providing information and assistance as needed.
- Manage appointment bookings and maintain a tidy and welcoming reception area.
**Administrative Support**:
- Assist in the preparation of property listings, brochures, and marketing materials.
- Maintain and update electronic and paper filing systems for property listings and client records.
- Prepare and process contracts, agreements, and other documents such as invoices.
- Assist in scheduling property viewings, coordinating with clients and agents.
**Data Entry and Record Keeping**:
- Enter and maintain accurate data in the company's CRM and database systems.
- Keep records of property transactions, client interactions, and financial transactions.
- Generate reports and assist in tracking office metrics and performance.
**Office Management**:
- Manage office supplies and inventory, ensuring efficient and cost-effective procurement.
- Coordinate with external vendors for office maintenance and repairs.
- Help maintain a clean and organised office environment.
**Qualifications**:
- Previous experience preferred but not essential in a receptionist or administrative role, preferably in a similar industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Strong organisational skills and attention to detail.
- Ability to multitask and prioritise tasks effectively.
- Knowledge of estate agent terminology and processes is a plus.
- Knowledge of property management software and CRM systems is a plus.
Pay: £18,000.00-£24,000.00 per year
