**Job Description - Administration Assistant (Reception)**
**Introduction**
- Reporting to the Sales Administration Manager, based in Portsmouth this is an internal supporting role to assist in the daily administration of the PDI (pre-delivery inspection) workshop and cover general reception duties.
**Main roles and responsibilities**
- Greet visitors at reception and direct deliveries/enquiries as necessary.
- Ensure all visitors/contractors are made aware of site health & safety rules.
- Be main person responsible for answering and directing incoming phone calls.
- Organise staff training courses and maintain records.
- Help with transport of machines when required.
- Manage ordering of provisions for Portsmouth depot - tea, coffee, cleaning materials etc.
- Carry out general administration duties as required.
- Assist PDI admin team when requested with creation of PDI paperwork and case administration.
- Ordering parts for jobs (machine cases) as required.
- Manage weekly driver check sheets for all company vehicles ensuring all users submit these correctly.
- Update FORS vehicle information as required; maintenance records, vehicle mileage, driver incidents/accidents etc.
- Check engineers’ weekly timesheets and allocate hours to relevant cases.
- Ensure all health & safety practices are correctly followed.
**Job Types**: Full-time, Permanent
**Salary**: £19,000.00-£22,000.00 per year
Schedule:
- 8 hour shift
- Day shift
- Monday to Friday
