HR Administrator

**JOB PURPOSE**:
- A generalist role managing day to day tasks in a timely and accurate manner
- To assist and support the Cluster HR Manager with the administration of personnel records and data, and offer an effective administrative support service, ensuring confidentiality at all times
**KEY RESPONSIBILITIES**
This list is not meant to provide a narrow definition of specific responsibilities but to serve as guidance and should be seen as enabling rather than restrictive.
- To undertake the efficient and accurate preparation, input and maintenance of information and data into the personnel systems operated by the academy in accordance with agreed procedures and regulations
- Maintain staff sickness and absence records for staff on long term absence, maternity leave and other extended periods of absence
- Undertake administrative duties in connection with personnel changes/amendments and terminations of contracts for staff
- Provide help and advice to staff and external parties as and when required in relation to personnel matters
- Provide regular HR reports as directed to include absence data and necessary staff lists
- To provide support to the Cluster HR Manager in relation to recruitment processes and safeguarding matters
- Assist in the production and placement of job adverts
- Help manage the interview process when required, plan schedules, arrange rooms and refreshments etc.
- Complete DBS procedures
- Complete Medigold Job Screen Health Assessment and chase outstanding paperwork
- Complete Prohibition Order checks for Teachers and Prohibition from Management checks if required
- Update the HR system with new employee details, job role and salary
- Maintain and manage the academy’s Single Central Record for Safeguarding and Vetting, ensuring the academy meets all legal requirements for the checking of eligibility to work and identity of individuals
- Ensure than all electronic and manual personnel records are kept appropriately, and all personnel files are updated to current standard and all in uniform order
- Send out probationary review requests monthly and monitor returns, ensure probationary sign off has been completed and letter issued to employee
- Ensure that all staff are paid on the correct scale and spine point in consultation with the Principal and provide appropriate information on pay to staff, the Governing Body and ULT
- Be the first point of contact for all staff on academy pay and contract related issues, liaising with ULT HR and payroll as necessary
- Take responsibility for all records relating to staff, including absence, overtime, medical certificates, supply teachers etc.
- Process monthly reports for the Finance team in respect of overtime payments, starters, leavers etc. in accordance with published cut off dates and ULT policy
- Attend meetings as note taker as and when required
- Ensure that the confidentiality of sensitive information and data is not compromised
**Training and Development**
- Ensure that appropriate induction procedures are in place for new employees and assist senior staff with the implementation of these procedures
- Oversee and maintain an induction handbook for new employees
**Management and Administration**
- Use the Sims/Arbor database to include all staff admissions and leavers and keep general information up to date
- Maintain the HR database, iTrent, including processing overtime payments, starters, leavers etc.
- Be responsible for completion and submission of the School Workforce Census
**Supporting the Academy**
- Provide consistent and effective support for colleagues in line with the responsibilities of this role
- Be aware of and comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection, reporting all concerns to the appropriate person
- Recognise own strengths and expertise and use these to advise and support others
**Academy Policy**
- Ensure that academy policies relating to HR are kept up to date and that staff receive copies of new or adjusted policies with reasonable notification and in good time
- Contribute to development of, and adherence to, academy policy
- Support the academy vision and ethos
**Personnel**
- Communicate effectively to all members of the team, this will include meetings at other United Learning locations by arrangement
- Work collaboratively with other staff
**Job Types**: Full-time, Part-time, Permanent
**Salary**: £24,000.00-£26,000.00 per year
Expected hours: 37.50 per week
