**1. Required qualifications, skills and experience**
1.1 The ability to use a computer based case management system.
1.2 Word processing skills and audio typing skills
1.3 Previous experience of law firms and the importance of following procedures
1.4 The ability to follow instructions and also be able to use their own initiative.
1.5 Customer Service skills.
**2. Role**
The prime role of the position is to provide direct support to the principals to enable the principals to operate at optimum efficiency. This will include but not be limited to the main responsibilities given below. The Administration Assistant is expect to use a high degree of self-management, initiative and self-motivation.
**3. Main responsibilities**
3.1 To administer filing which will include daily filing and the opening, closing, storage and retrieval of client’s files in accordance with the detailed procedures contained in the Office Manual
3.2 To prepare mail and enclosures for despatch
3.3 To carry out any photocopying as required
3.4 To make appointments, arrange meetings and to maintain an up to date diary for the principals
3.5 To attend clients as required both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the Firms standard of client care
3.6 To undertake and specific training when required to do so and overall to have responsibility towards self-development
3.7 To prepare correspondence and documents through audio typing and word processing as required
3.8 To ensure the confidentiality of all of the firm’s and client’s documentation and information
3.9 To assist Property Department with any marketing projects
