We currently have an opportunity for a We Support Team Member professional to join our team as a **We Support Services** Team Member** in **Epsom - KT18 5UX **and be a vital part of delivering services This is an excellent opportunity for a customer-focused individual to join a world-leading food and facilities management company, which can offer unrivalled opportunities for career progression. **What you’ll do**:
- Post room duties and Porter duties - Meeting room setups
- Communicate well between staff, customers and clients and consistently demonstrate an efficient and friendly service to customers and clients.
- Ensure the Reception, Switchboard and Helpdesk are consistently handled and operated at agreed times.
- Answer the telephone promptly, politely & professionally always and connect callers quickly to the correct party.
- Deal efficiently with requests for outgoing calls or internal requests for information.
- Manage the new starter induction process for all new Toyota staff, including site tour and introduction to the key Workplace Experience teams
- Produce monthly performance reports on reception services provided.
- Produce marketing material to be shared on the Toyota and Sodexo intranet sites
- Be prepared to call First Aiders/Cleaners when urgently required.
- Arrange & log the booking of taxis and confirm the charge point.
- Ensure that any building or equipment maintenance defects are reported immediately through the correct channels.
- Correctly deal with lost property, following Sodexo and Client procedures about documentation and safekeeping.
- Participate in training or career promotion development schemes and team meetings to keep current with company legislations, policies and procedures internally or externally.
- Liaise with the Client, assisting in project work & Toyota papers.
- Ensure job sheets are logged & jobs are issued to the correct departments.
- Attend any Meetings as requested and take minutes.
- Attend other sites if required
- Help maintain Sodexo / Toyota systems, including VGreet, Condeco, SharePoint
- Place ad hoc orders for the Sodexo and Toyota teams as and when required
- Liaising with various contractors on & off-site
- Covering Reception responsibilities when required
- Report immediately any incidents of accident, fire, theft, loss, damage or other irregularities and take such action as may be appropriate.
- To be aware of all Fire and Emergency Evacuation procedures and to ensure standard precautions are taken by staff to protect against fire and safety hazards.
- Comply with all company and client policies/procedures and statutory regulations relating to Health & safety, safe working practices, hygiene, cleanliness, fire and COSHH. This will include your awareness of any specific hazards in your workplace.
- Continuous Improvement to agreed standards
- Carry out other reasonable tasks as directed by management.
- Carry out any other special duties or work outside routine but within the overall scope of the department.
- Room checks.
**What you bring**:
- Proficient in English (Written and Spoken)
- Previous experience in Corporate Services Reception (6 months Minimum) Meeting room booking systems - specifically Condeco
- Switchboard operations/systems
- Help desk services
- Excellent communication skills with a keen eye for attention and detail
- Positive approach to learning in the role and identifying own training needs as appropriate. I am self-motivated and can work on my initiative within a team environment.
- Dealing with complaints whilst maintaining a professional outlook and positive attitude. Exceptional organisational skills
- Able to work flexibly on business needs.
- Committed to ‘getting’ the job done without compromising service levels and professionalism. Team player with a ‘hands-on’ approach to obtaining excellence in service delivery.
- Ability to converse at all levels and adapt to the environment effortlessly. Proficient in the use of IT platforms, Outlook, Word, Excel
- Fluent in English, both verbal and written
