Communicate with patients directly on a daily basis, managing the through flow of internal and external telephone calls for the Stop Smoking Team. The post holder will prioritise and take appropriate action; including the issue of urgent prescription requests where necessary.

Key Responsibilities:
Manage the through flow of internal and external written correspondence with patients, keeping records updated as required through the Quit Manager database.
- Provide an effective link with Stop Smoking Service providers, including Primary Care, Pharmacy and other internal and external contacts. This role will require appropriate judgment from the post holder to ensure that enquiries or contacts are effectively sifted and re-routed.
- Act as a focal point for incoming calls, responding to potentially difficult and sensitive issues with an empathetic approach. The post holder will be required to relay information to the appropriate manager to ensure matters are dealt with as a matter of urgency.
- Contribute to the ongoing maintenance of the Smokefree Bedfordshire Website; updating content, newsfeeds and supporting service users via the ‘one to one’ online support function.
- Assist with regular undertaking of public involvement surveys with potential, past and current service users. The post holder will collate responses on a central database so that comments, compliments and complaints can be passed on to the customer relations team.
- Check all incoming invoices from Primary Care and community based Stop Smoking Services; ensuring all data is captured on the Quit
- This is a very busy role with lots of projects and tasks to manage.

Qualifications:

- RSA III Typing/Word Processing/Text processing/ Document Presentation or equivalent

Knowledge:

- A sound knowledge of communication and customer care skills

**Experience**:
Experience of dealing directly with the public in a very busy environment
- Experience of organising own and others’ work in a busy working environment.

Skills & Abilities:

- IT skills and ability to use database records and compile reports.
- Ability to recognise customers communication needs and address these professionally and appropriately
- Ability to work under pressure in order to meet deadlines
- Ability to use computerised systems, particularly databases and spreadsheets (Microsoft Word, Excel and Access)
- Excellent phone manner - internally and externally coupled with an ability to communicate clearly and to listen effectively
