We are looking to recruit a part-time Administrator (25 hours/week) for our contract covering the Wolverhampton area - currently based out of Essington.
**Purpose**
To provide comprehensive, professional contract administrative support services.
To undertake a wide range of administrative support tasks ensuring that an efficient and effective service is provided to managers and supervisors operating with the contract.
To be the first point of contact for all telephone and reception enquiries, including work programs enquiries ensuring a proactive, customer focused, flexible and responsive approach is taken at all times.
**Key Responsibilities**
Provide a full and confidential administrative and business support service within the contract.
Carry out routine works onto the ATAK system, keeping the information accurate and up to date.
Be accountable for ensuring an effective and accurate payroll administration service for all contract staff, inputting data in a timely way and liaising with the Head Office payroll section and individual contract managers and operatives as required.
Regularly monitor and carry out data inputting from customer systems, enquiry/complaint and ATAK systems, ensuring that all cases are processed and dealt with speedily and within agreed SLA timescales.
Process all orders and track for successful completion.
Utilise IT skills, produce spreadsheets, prepare statistics and reports as required, including work programs, health and safety, accidents and incidents etc.
Support the Contract Manager in the management and production of all ATAK based KPI reports.
Organise, minute, and action various meetings as requested by the Contract Manager.
Set up and maintain efficient administrative and organisational systems, including the management of all personnel related forms, files and information using Company systems including Cascade, Qooling, ATAK.
Work efficiently and effectively individually and as a team player.
Distribute relevant contract data to the correct members of staff.
Update and manage internal administrative systems and procedures.
Manage staff files, health and safety information and any other contract documentation.
Maintain all office stationery and other office consumable levels, arranging for replenishment through external suppliers when appropriate.
Maintain accurate staff personnel records, including recruitment correspondence, terms and conditions, training and induction, holiday and sickness records etc.
Type correspondence e.g. letters, memos and reports as directed.
Receive incoming and post outgoing correspondence.
File all correspondence in a timely manner including uploading or imputing information onto database systems where appropriate.
Ensure reception is clean, tidy and a pleasant environment in which to work.
Input Timesheets onto ATAK.
Work efficiently and effectively, both individually and as a team player.
Post holder may also be required to undertake other related duties not listed in this Job Description from time to time according to the needs of the business.
