**Job Title: Administration Officer (VOLA)**
**Salary: £19,838p.a. rising to £21,840 on 1st May (Real Living Wage)**
**Location: Burlington House, Crosby Rd North, L22 0LG**
**Responsible To: Consortium Manager (VOLA)**

**Job Purpose**:

- To support the Finance & Senior Admin Officer and wider VOLA Project Management Team in maintaining project monitoring systems. The primary, but not exclusive focus of the role is on the maintenance of monitoring systems/ tracking records (paper-based & computer) relating to VOLA’s projects.
- To provide administrative and clerical support to the team and to be the first point of contact for dealing with general enquiries relating to VOLA.

**Main Duties and Responsibilities**:
**In conjunction with the Finance & Senior Admin Officer**:

- Liaise with project Delivery Partners to ensure the timely submission and accuracy of project-related paperwork, monitoring data and supporting evidence. This includes paperwork relating to participants engaged with VOLA’s training/ employment support projects, plus other required tracking documentation relating to the delivery of those projects.
- Systematically check participant-related monitoring paperwork/data and supporting evidence for accuracy and completeness, to meet contractual requirements of funders.
- Follow up and resolve any issues regarding incomplete or inaccurate monitoring returns with individual Delivery Partners. Significant anomalies or concerns should be brought to the attention of the Finance & Senior Admin Officer, or Project Manager, who will provide support where required.
- Provide administration support to VOLA’s Digital Grants programme. This includes helping with checks on applicant organisations; and liaising with organisations that are successful in receiving funding, to collect monitoring paperwork and evidence.
- Input data from monitoring forms to project-related tracking spreadsheets, ensuring accuracy of data entry.
- Help to arrange and service meetings, workshops and events, including booking venues/rooms, processing delegate bookings, arranging refreshments, taking minutes, etc.
- Use a variety of software packages (e.g. MS Word, Excel, etc.) to produce correspondence, minutes of meetings, reports, etc.
- Support the team in maintaining/updating the website(s).
- Maintain stationery and equipment supplies.
- Carry out general clerical duties including filing (hard copy and computer-based), photocopying and scanning.
- Undertake any other tasks as may reasonably be required within the general terms of the job description.
- Operate within organisational policies and procedures.
