Off The Record is an independent charity based in the Havant Borough area and has been supporting young people and their families in South East Hampshire since 1977.

Our mission is to support young people’s mental health to fulfil their potential for a brighter future.

Young people are at the heart of what we do, and we aim to support the emotional health and wellbeing of our community's young people through one-to-one counselling, support and group support for 11-25-year-olds and their families.

This is a role offered for between 16-25 hours negotiable, and to be worked across 3-5 days.

However, the 10.5 to 12 of the hours must be worked evenings Monday to Wednesday from 1630 or 17:00-20:30. Remaining hours negotiable.

Hours: 16-25 hours per week at £10.90 per hour in line with the real living wage. We are a real living wage employer

**What would a successful Administrative Officer at OTR look like?**
- Good Customer Service - providing an excellent experience for both clients and counsellors alike from end to end, maintaining OTR’s targets, and strong reputation.
- Attention to Detail - accurate data entry into the OTR database and making sure everything you do is correct and in line with OTR policies, processes, and procedures, including Safeguarding, Confidentiality and GDPR.
- Organised - being able to take initiative and manage your time proficiently by multitasking with variable and competing priorities and urgencies, sometimes in a busy distracting environment.
- Team player - work independently within part of a small team, both providing and seeking support from those around you when appropriate and regular communication with counsellors and support workers. Being flexible outside of the normal day-to-day duties could be required.
- Compassionate - Caring about mental wellbeing, with a positive attitude to the young people and community we serve. Being considerate whilst maintaining appropriate boundaries. Truly committed to equality, diversity, and inclusion for all.
- IT Skills - the use of a bespoke database, Freshdesk Ticket System, and SharePoint on a regular basis and Teams, Zoom, Outlook, Word, Excel, WordPress, and Social Media Platforms on an occasional basis is a large part of the administrative role, so previous experience with Office 365 and an ability and willingness to learn new systems is required.

**What training would a successful Administrative Officer receive?**
- Online Induction Training, including:

- Safeguarding
- GDPR
- Health and Safety
- First Aid
- Fire Warden
- Full training on OTR database and all customer processing and filing systems.
- Additional training if required relevant to the role and/or welfare.
