What you will be doing

**GENERAL**
- Setting up and maintaining accurate data entries for members and ships in all parts of the underwriting system.
- Producing prompt and accurate entry documentation in order to provide evidence of insurance for new attachments and new members.
- Producing documentation necessary for members to obtain entry approval by U.S. Coast Guard via guarantee providers, issue Letters of Undertaking to mortgagees and entry into ITOPF.
- Issuance of blue cards in accordance with the relevant Convention.
- Producing the documentation necessary for members to comply with MLC.
- Where vessels are cancelled or withdrawn, update records to issue appropriate documentation and advice of cancellation to appropriate third parties.
- Where a member leaves the club, in coordination with the divisions, to prepare documentation, as required.
- Responding to routine enquiries in relation to ships entered in the Standard Club.
- Submitting underwriting declarations to external organisations, as required (i.e., ITOPF, COFR providers.
- Updating the sanctions system daily with underwriting information needed to perform batch checks.
- Carrying out sanction checks, clear matches and perform batch checks on a daily basis.
- Ensuring timely and effective administration of underwriting systems and databases to support the Underwriting Operations function, including setting up clauses, organisations, ports, ship types, adding brokers and ensuring that templates are updated.
- Liaising with underwriting contacts in each division, as required.
- Carrying out production of reports and data analysis, including exception reports.

**RENEWAL**
- Producing renewal statistics for divisions as required.
- Updating the underwriting systems with renewal terms changes and produce all relevant documentation appropriate to the entry.
- Updating 3rd parties (including COFR providers, ITOPF, banks) with information relating to renewal.

**MISCELLANEOUS**
- Dealing with enquiries from members, brokers and third parties.
- To upkeep members’ files using the electronic filing system as appropriate.
- Monitoring the internal Underwriting operations team inboxes.

- Educated to at least GCSE A level or equivalent
- Accuracy and attention to detail
- Working knowledge of Microsoft Word, Excel and Outlook
- Ability to work as part of a team
- Strong interpersonal skills with the ability to liaise at all levels
- Desire to gain knowledge and experience

**Desirable Skills, qualifications and experience**
- Previous administrative experience in an insurance company
