We have an exciting opportunity for a Band 4 Clinical Administrator to provide comprehensive administrative and secretarial support for the Countywide Acute Liaison Mental Health and Liaison Psychiatry for Older People consultant psychiatrists and their supporting teams.

The role of the clinical administrator within the Acute Liaison Mental Health Service and Liaison Psychiatry for Older People Service is an integral part of the whole administrative function and will provide an effective and efficient support service to the multi-disciplinary staff team (s), performing specific tasks and duties as directed by the Business Support Manager. The role of Clinical Administrator will require a range of secretarial and clerical skills to support supporting clinical teams thus enabling a whole team approach with the aim of providing outstanding compassionate care. The post-holder will be required to work as part of a team with the Crisis Pathway lead administrator and administration team members and provide cross cover during periods of staff absence. The post-holder will need be flexible in their approach and use initiative and judgement to organise their own workload, dependent on the priorities and requirements at the time.

It is essential that the post holder can exercise initiative suitable to the role and is fully supportive of other colleagues in the team. You will demonstrate an enthusiasm for professional development and will be motivated to further your understanding and skills through various training opportunities. Car owner/driver and current driving license essential or access to a car as you will be required to cover countywide support to consultants at Kettering and Northampton General Hospitals, and will attend each hospital at least 1 day per week.
- Provide administrative support for the recruitment of new team members and to support the interview process and panel if required. Train new staff on own work area and demonstrate duties where necessary.
- Ensure that scanning is up to date so that electronic medical records are complete.
- Enter annual leave, expenses and mileage claims onto eRostering and Easy Expenses system.
- Maintain the electronic staff rostering system for Liaison Psychiatry for Older People Service staff as required (including the calculation and entry of working patterns, annual leave, sick leave and any other absences).
- To book interpreters as required by clinical staff.
- To liaise with patients/carers over the telephone with regards to appointments and other queries.
- To ensure that all duties are carried out to the highest possible standard, in accordance with the Trust Managing Diversity and Equal Opportunities in Employment Policy.
- To send out service standard letters regarding appointments and discharge letters to relevant organisations.
- To administer the teams referrals received. Ensure that referrals received into the service are entered on to System1 if required, checking that they are linked as appropriate. Update and maintain System1 with current details of service users.
- Liaise with IT departments as delegated by line manager regarding problems / faults with electronic equipment etc.
- Provide support for meetings, (i.e. admission, intervention planning, MDT, service user meetings etc) including the organising of venue, preparation and distribution of agendas and taking, transcription and distribution of minutes/ action notes. Follow up of action points arising from meetings.
- To produce adhoc letters or memos as and when required.
- Word process and/or audio type assessment letters, adjusting spelling or grammar as required.
- Assist clinical staff with ePEX/System1/Word/Excel/PowerPoint as and when required and provide superuser Sys1 guidance for the team.
- Run SMART reports and format these to the standard required.
- Respond to telephone calls from anxious and distressed patients and carers, analysing information and offering non-clinical guidance by using own judgment in a professional and competent manner.
- Support with the completion and writing up of Audits led by Clinical Team members.
- Provide accurate, prompt and efficient secretarial/administrative support to the clinical multidisciplinary team which may include spreadsheets and reports.
- To assist with any other word processing tasks in support of the clinical staff or as requested by the Supervisor or Operational Manager.
- Provide cover for other administrative staff during holidays and sickness, across the Locality.
- To ensure that adequate supplies of stationery and provisions are available at all times and to prepare requisitions using Agresso
