Legal Secretary

We are recruiting for an experienced Legal Secretary to join our Commercial Services Team in Glasgow.

**Role Responsibility**:
The successful Legal Secretary will be required to deliver the following:
- To carry out secretarial and administrative tasks supporting a remotely based team handling International Trade - support to 1 partner, 3 legal directors and 2 solicitors
- Extensive diary management
- Travel management
- Supporting the project management of a consortium of overseas law firms
- Dealing with clients by phone, taking messages and general calls. Responding to client queries and escalating only as appropriate
- Digital dictation (audio typing) and copy typing, including preparing and amending documents to comply with TLT housestyle
- Arranging meetings and minute taking
- Creating/amending/comparing agreements and documents
- Preparation of Powerpoint presentations
- Maintaining client matters: opening new files, arranging conflict checks, physical and electronic filing, general admin such as faxing/photocopying paperwork, archived completed files
- Receipting TT/BACS and sending posting slips
- Financial Reporting - completion of client specific spreadsheet submission on monthly basis
- Client liaison to obtain and record PO numbers/budget information for public sector in advance of monthly billing
- Provide accurate monthly invoicing/billing and handling queries in a timely manner.
- Work with the Credit Control team to ensure bill/invoices are paid on time by the client
- Updating and maintaining contact information for clients on Interaction
- Reconciling Partner expenses
- Supporting cross location working covering other secretarial absence within the team as and when required

- Excellent communication skills with a good telephone manner and client care expertise.
- Accuracy, sound organisational skills and attention to detail are required.
- Ability to be flexible managing tasks and workload on a daily basis.
- Previous legal experience is essential and this should ideally be in Commercial Services/Public sector.
- Strong IT systems skills in Word and Outlook, and experience of iManage/Interwoven, Connect, PowerPoint and Excel would be beneficial.
- Knowledge of Interwoven, CompareDocs and pdfDocs would all be an advantage
