**1. JOB DETAILS Job Title**: Workforce Systems Officer Reports to: Workforce Systems Manager Band: 4 Unit/Department: Workforce Systems Directorate: Human Resources AfC Job No: 2765c 2. JOB PURPOSE/SUMMARY To be responsible for the system administration, security and accuracy of the Trusts workforce systems Electronic Staff Record (ESR) and eRostering. To provide ESR and eRostering expertise and support to the project management of the roll out of both systems to release the full benefits of the within the Trust and to support the continued development and enhancement of the systems.

To provide comprehensive information, advice and support regarding ESR and eRostering enquires to Service Mangers/Matrons and individual users. To support the CSUs in achieving their business objectives through the fair and effective management and deployment of staff. The Workforce System Officer will be responsible for providing a comprehensive advice and support service to LTHT staff comprising approximately 16,500 staff. ESR and eRostering information is pay impacting and therefore accuracy is essential when inputting and extracting workforce information is essential e.g.

grade changes, annual leave calculation. 3. ORGANISATIONAL CHART 4. PRINCIPAL DUTIES & AREAS OF RESPONSIBILITY To support the provision of ESR and eRostering expertise and on-going training to managers on the full benefits of the both systems within the Trust.

To support the development and deployment of the different functions within ESR and eRostering to ensure it is used effectively throughout the Trust. To attend meetings and participate in external groups to enhance the ESR and eRostering system and Quality Assure its performance. To provide support for the delivery of appropriate ESR and eRostering training to staff at all levels within the Trust. To act as the main source of expertise in ESR and eRostering HR Processes providing advice and support to managers and support staff across the Trust, use system and procedure knowledge to improve and develop streamlined systems of working practice.

To document all key Workforce System processes/changes and to inform users of these changes in order to maintain consistency of key elements of ESR and eRostering across the Trust and ensure appropriate training regarding changes is implemented. To act upon requests for information from external agencies and make decisions regarding the provision of information which is of a confidential nature, ensuring the principles of the Data Protection Act are adhered to. To liaise with internal and external colleagues e.g. the wider NHS environment and software supplier as appropriate.

Regular requirement to develop or create reports and documents using data extracted from ESR and eRostering. Responsible for the maintenance of the ESR and eRostering systems ensuring that the data is accurate and reflects the current organisation of the Trust by: Undertaking regular audits of HR data Maintaining data quality and initiating periodic data cleansing Allocating users security access Maintaining key NHS and local reference tables e.g. Occupation Codes Maintaining the Trusts organisational structure Central point of contact for reporting HR related faults/problems to IBM/Allocate helpdesk and follow up their resolution Set up and maintain user access and user responsibility profiles 5.
