Executive Assistant to Chief Enterprise Technology Officer, Edinburgh.

The role holder will provide a proactive and efficient Executive Assistant service to abrdn's Chief Enterprise Technology Officer (CETO). They will build professional and effective relationships to create a strong network both internally and externally, to help support the CETO with the business objectives.
Responsibilities include:
- Demonstrate company behaviours during all interactions with manager, team or client (internal and external)- Prioritise own workload ensuring all deadlines are met/managed effectively- Assist the Chief Enterprise Technology Officer in managing their workload, highlighting deadlines and actions from meetings-
- Pro-active forward planning, organising and maintaining diary- Ensure all internal and external meetings are effectively arranged with meeting rooms/video meetings booked and papers are easily available where applicable- Pro-actively prepare and co-ordinate pre-meeting information for all internal/external stakeholder meetings- Assist with setting up Steering Committee Meetings, Agenda preparation and, distribution of papers in a timely manner- Ensure the Chief Enterprise Technology Officer’s leadership team meet weekly, taking responsibility to ensure they agree on the agenda in advance of the meeting and that papers are distributed in a timely manner- Actively encourage cost savings and feel confident in challenging and proposing alternatives- Pro-active management of travel arrangements ensuring the most appropriate/cost effect method of travel is booked and visas are prepared where applicable- Expenses are submitted in a timely manner- Approvals such as travel and Service Now requests are highlighted with the appropriate action taken- Ensure (where applicable) that the relevant distribution/telephone lists/organisation charts are kept up to date- Planning for upcoming presentations & events- Carry out specific projects and /or provide assistance to ad-hoc projects, as requested
Management of Support Staff- Work with the team to continuously improve the administrative support processes. Manage process development and enhancement initiatives.- Proactively encourage communication and exchange of ideas within the PA and Admin team and also the wider company.- Carry out regular performance meetings in conjunction with Department Managers within the business to ensure appropriate and continued development of their support staff.
