**Purpose of the role**:
We are looking for a Front of House Administrator to provide a friendly, efficient front office (FOH) and reception service and provide admin support to the Office Manager, Facilities and Executive Management team as required.

**Key Accountabilities**:

- Meeting, greeting and checking in visitors, always ensuring the highest levels of customer services
- Dealing with and distributing any incoming and outgoing mail including booking courier services to include tracking of postage stamps and ordering when required
- Assisting with the booking of transport and accommodation for employees and visitors when required
- Managing meeting room bookings including preparing/setting up meeting rooms and refreshments (serving food) as well as clearing down afterwards
- Ordering catering and refreshments as requested
- Maintaining supplies and servicing coffee machines
- Collaborating with the Facilities, Operations, IT and Executive Management team to support office related activities and enhancements and implement new ideas
- Providing reception cover during holidays and periods of absence
- Acting as a brand ambassador for Ceres
- Ordering office supplies and consumables via preapproved vendors to include but not limited to Amazon, Principal, Sainsburys
- Manage the consumable stock levels across our sites via daily spreadsheets
- Be required to obtain a Food Safety Awareness Level 2 accreditation
- Assist with Office Manager duties in their absence and liaise accordingly
- Ensure the external meeting rooms are always set to the service level standards
- Ordering and arranging business cards
- Managing and allocating lockers
- Liaise with the cleaners about best practice and report concerns to Facilities
- Interfacing the software tools that manage resources across our sites

**Knowledge and skills required for the role**:

- Previous front of house experience
- A Level or equivalent NVQ
- Passionate commitment to providing a great client service and experience
- Confidence to act as the face of Ceres
- Excellent communication skills both verbal and written
- Excellent organisational skills with the ability and confidence to work in a fast-paced organisation
- Real attention to detail
- Proactive approach to problem solving with a can-do attitude
- Ability to effectively communicate at all levels and influence where necessary
- Delivery-focused and highly motivated, capable of handling multiple priorities and high volume of work
