Reception/Admin Temp 4-8 weeks cover £12-13ph
Based in B32, Woodgate Valley
It will be 25 hours per week - 9am - 3pm Mon to Fri with an hour lunch break. We have a bit of flexibility on the hours.
To provide first class reception cover and administrative support to the branch including support on travel arrangements and accommodation.
Key Responsibilities
1. Reception duties - ensure calls are answered promptly and visitors are greeted in a timely manner
2. General office administrative tasks e.g. mail, ordering supplies, answering phones
3. Assisting the team by organising hotel bookings, flights, hire cars etc
Specific Duties
1. Perform general clerical duties such as photocopying, filing/archiving, updating contact list as required and distributing.
2. Obtain quotes for and coordinate repairs of the building and office equipment, ensuring timely completion
3. Manage building maintenance contracts to ensure legal/health and safety requirements are met
4. Control the supply and complete the ordering of office stationery and general office supplies
5. Manage mail, couriers etc into and out of the office, ensuring post is distributed
6. Keep an accurate record of all holiday/leave requests for the Sales, Engineering and UKM areas
7. Assisting the Finance Team with invoice matching, filing and archiving as required
8. Keep an accurate log of the Birmingham flat usage and manage occupancy/costs
9. Manage the Cleaning company for both the Birmingham office and flat and review regularly
10. Other tasks and duties as reasonably requested

**Qualifications**:
NVQ Level 2 in Business and Administration or equivalent
Work Experience
2 years experience in an administration role
Exposure to the international organisations (specifically food and packaging) is advantageous

Good computer skills with experience of MS Officer and Outlook
Excellent communication (written and verbal)
Able to multi task, be flexible and work under some pressure
Able to work with mínimal supervision, autonomously and as part of the team
