Band 2 Ward Administrator

We have an exciting post available for a Ward Administrator in the acute medicine wards. You will work across three wards.
The working hours are 37.5 hours per week. You will be required to work flexibly as part of a team of ward administrators to support a rota which covers the wards between 08:00 am and 08:30pm, Monday to Friday. There will also be weekend shifts from 08:00 to 16pm
Main duties of the job
The ward administrator is responsible for providing excellent customer care to families on the ward and for carrying out established admin processes efficiently and accurately.
You will have a caring and flexible approach to meet service requirements and will work well both in a team and independently.
We are seeking enthusiastic individuals who are able to take on new challenges and provide the best possible service to clinicians, nurses and families alike.
You will require excellent interpersonal skills to deal effectively with a wide range of people. You must be highly organised and competent with IT to succeed in this role

Patient/ Client Care
- Promote a customer focused approach to receive patients and visitors to the ward, providing a courteous, responsive and effective first point of contact (in person and by telephone) for patients, carers and healthcare professionals, both internal and external to the Trust.
- Use judgement in responding to queries or taking messages. Ensure that all enquires are dealt with politely, courteously, promptly and professionally.
- Maintain good communication links with the ward team and other departments.
- To ensure that all telephone calls are answered within the agreed time and in line with the Trust’s telephone standards.
- Redirect calls to other departments if necessary or when callers are misdirected.
- To arrange transport when required, clearly communicating with the nursing staff.
- Make outpatient appointments as appropriate prior to discharge in conjunction with the patients future care plans.
Administration / Clerical Services
- Prioritise, plan and organise daily workload, ensuring that daily tasks and ongoing workloads are prioritised and completed within agreed and acceptable timescales, ensuring the ward manager is informed as relevant of any changes in working pattern.
- To photocopy documentation and ensure that stationery is well stocked at all times.
- To answer telephone calls and deal with non-nursing/non-medical enquiries.
- Maintain good communication links with the ward team and other departments.
- Arrange for any repairs that are required, after discussion with the nurse in charge and or ward manager, and undertake other requests as directed.
- Communicate and document information accordingly.
- Maintain existing systems as necessary to a professional and consistent standard.
- To undertake any other clerical task as agreed mutually with the ward manager to ensure that the administrative systems meet the needs of the ward.
- Appropriate disposal and shredding of confidential papers.
- To record/update admission, discharge/transfer of patient data on Trust information systems under the direction of registered nurses, to include predicted dates of discharge.
- Order patient services as requested or necessary.
Staff Development and Support
- To train and develop new ward clerks and support staff who cover for annual leave, sharing good practice where possible.
- Computer and IT Systems
- To operate appropriate IT link systems to other health agencies and IT packages relevant to the clinical area.
- Ensure functional status of ward printer, computers and fax machine.
Medical Records
- To handle medical records ensuring these are up to date with filing and reports, following Trust and unit procedures.
