To be responsible for a variety of tasks related to the support and servicing of the University's management groups and committees. To be responsible for matters relating to the governance of, and compliance requirements for, the University within the remitof the Central Secretariat.

**Description**
Support for the University's management groups
1 Plan agendas, commission reports, write minutes and facilitate communication to ensure effective decision-making of the executive and management groups, to include but not limited to the Vice-Chancellor's Executive Group;
2 Undertake special projects as required by the Vice-Chancellor or University Secretary, such as the organisation of events, research and production of reports;
3 Provide administrative support for the Interim University Secretary, including drafting minutes and agendas for internal meetings
Governance administration and support
4 To be responsible for the preparation and dispatch of agenda and minutes of a small portfolio of committees and boards of the University and of ad hoc working groups, ensuring that they are in line with good practice and comply with the provisions of theUniversity's governing documents (including the Statutes, Ordinances and Regulations);
5 To provide advice and support to committee Chairs and members to ensure effective decision making by those committees;
6 To provide advice and support to the Vice-Chancellor, Pro-Vice
Chancellors, the Chief Financial Officer, Directors of Departments, other
senior managers and report authors (collectively, "stakeholders") about the development of reports and agenda;
7 To carry out other duties relating to the governance of the University, which may include but are not limited to:
a. Projects arising from committee decisions.
b. Providing support for projects and other work initiated by the Vice
- Chancellor, the University Secretary or the Head of Central Secretariat
8 To actively follow and promote the University of London policies, including the University's Dignity at Work and Equal Opportunities Policy and actively promote these wherever possible;
9 To maintain an awareness and observation of fire and health and safety regulations;
10 Any other duties consistent with both the grade and scope of the post;
11 Any other duties reasonably required of the postholder by the Head of Central
Secretariat, the University Secretary or the Vice-Chancellor following consultation.
**Profile**
EXPERIENCE & PERSONAL QUALITIES
Essential:
- Must be able to demonstrate excellent understanding and practical knowledge of preparing formal agendas and taking formal minutes at committees and management meetings
- Sound report writing skills
- Ability to work as part of a team
- Good organisational skills, including the ability to prioritise work to meet competing deadlines and ensure an efficient and effective service
- Excellent attention to detail
Desirable:
- Some previous relevant experience in a higher education environment or with another public sector body.
TECHNICAL KNOWLEDGE & SKILLS
Essential:
- Excellent IT skills, including MS Office 365 Suite and databases.
- Ability to monitor, interpret and ensure compliance with regulations and procedures.
- Excellent communication including the ability to understand and present complex material clearly and succinctly in writing.
- Good interpersonal and communication skills, including the ability to deal effectively with senior colleagues and stakeholders by phone, face-to-face and in writing.
Desirable:
- A good understanding of governance in higher education
