The Project Support Officer will be responsible for providing a full range of administrative duties to the BI Department. This will range from, arranging meetings, receiving and disseminating information and the provision of admin support to the Data Stewardship Group (DSG) as is required. The Project Support Officer will provide a comprehensive administrative function to both the BI Department and the DSG, working professionally and diplomatically with all colleagues across the Trust.

Main duties will include, but will not be limited to, the following:

- Co-ordination and minuting of project meetings
- Drafting project-related correspondence
- Undertaking effective Stakeholder Communications
- Producing and distributing minutes

- To support both the Director and Head of Information, Performance & Business Intelligence in co-ordinating project delivery resources.
- To collate Project plans, risk logs etc and ensure that these are distributed and filed appropriately.
- To assist with the administration process and management of the high-level Project Planning
- To keep track and acknowledge of all new Issue Logs and New Requests received and acknowledge
- To provide high-level secretarial support to the BI Department, including taking and distributing minutes, as appropriate.
- To ensure clear and effective communication both within the BI Department and beyond.
- To assist with the organisation and preparation of DSG meetings, liaising with stakeholders to clarify requests and relaying this to members of the DSG.
- To be responsible for the administration required to support the DSG, before, during and after meetings, coordinating with System Administrators with clear and detailed instructions.
- To assist with managing the DSG tracker (Microsoft Excel Workbook) and refreshing data daily to preserve data quality and accuracy.
- To assist with organising meeting and training events and arranging refreshments for the BI Department, as and when necessary.
- To support the BI Department’s SMT with scheduling meetings, and liaising with staff across the Trust to arrange these, where required.
- To work collaboratively with the PA/Administrators for other Directorates and departments.
- To assist the Information & Performance Dept Business Manager with drafting and producing content and liaising with the Communications Teams for Trust-wide announcements and communications.
- To assist the Information & Performance Dept Business Manager with collating and translating feedback following workshops and webinars, from colleagues across the Trust.
- To deal with queries in an appropriate and professional manner, using judgement and discretion where necessary, referring complex matters to the SMT as required.
- To prioritise own workload according to the BI Department’s needs and effectively manage conflicting priorities by developing and maintaining an efficient organised structure.
- To be fully conversant with MS Project software
