Our client, a professional Cardiff based Accountancy Practice are seeking an Executive Assistant.

This is a varied and rewarding role where you would help co-ordinate all office based activities and provide high-level administrative support to the Directors of the business.

This includes financial administration, client onboarding and disengagement, work allocation, office management, and ensuring smooth communication and coordination within the practice.

To be considered for this role it is essential that you posses confident IT (particularly Excel) and communication skills. It would be advantageous if you have gained previous experience working in a professional services environment.

**Executive Assistant duties and responsibilities**':

- Assist in managing the firm's day-to-day operations, including office management, facilities, and administrative functions.
- Provide high-level administrative support to the executives, managing their diaries and coordinating meetings.
- Process various financial administration tasks, such as raising practice invoices and setting up/amending client Direct Debits.
- Support with the onboarding of new clients and disengagement of existing clients.
- Book and assign new work to relevant team members.
- Oversee the return of client documentation through the record returns process.
- Administer the practice's tax investigation insurance service.
- Ensure the efficient operation of office systems and equipment, including phones, printers, and computers.
- Coordinate the maintenance of office supplies, including ordering and stocking supplies as needed.
- Act as the first point of contact for clients, colleagues, and suppliers, providing efficient and professional service.
- Prepare and maintain accurate records and reports, ensuring they are up-to-date and appropriately filed.
- Assisting with the coordination of training programs and professional development activities.
- Maintaining the firm's document management system and intranet
- Supporting the implementation and maintenance of practice management systems.
- Updating the firm's social media accounts.
- Cover reception duties as required, including greeting clients, managing incoming calls, and directing inquiries to the appropriate team members.
- Perform any other duties as assigned by the leadership team.

**Working Hours**:
Monday-Friday 37.5 hours per week

Free on site parking

**Job Types**: Full-time, Permanent

**Salary**: £22,000.00-£30,000.00 per year

Schedule:

- Monday to Friday
- No weekends

Ability to commute/relocate:

- Cardiff, Cardiff: reliably commute or plan to relocate before starting work (required)
