**Job summary**

Our Patient Support department has three sections: (1) Front of House responsible for all patient-facing work eg booking appointments, repeat prescriptions, registrations (2) Performance & Reporting responsible for patient recalls and achieving our clinical performance measures (3) Clinical support section responsible for referrals Management which provides the GP team with a referrals service, and also manages all non-NHS requests (ie medical reports) arriving at the practice.

All staff work across two or more sections; each of the three sections has its own Lead responsible for ensuring that work is delivered to a high standard. Our vacancy is to join the Clinical Services Section as a Secretary.

**Main duties of the job**

What Will You Do:
Referrals service: managing and delivering the referrals service, ensuring it is fit for purpose & that processes are understood and followed by both admin & clinical staff. Carry out referrals work according to the agreed processes. The referrals service compiles / types / dispatches referrals to secondary and all other care providers; deals with queries and expediting where necessary.

Non-NHS work: managing all Non-NHS requests (medical reports, private letter requests etc.): receipt and processing of all requests according to the agreed protocol.

Maintain an approach of constant quality improvement.

Work in other sections as agreed.

Previous experience of general practice and the secretary role is essential.

**Job description**

The salary band for the role starts at £12 per hour for someone with previous experience in this job. You must be available to work between 8am and 6.00 pm (hours and days to be agreed). We also offer membership of the NHS pension scheme.

OVERVIEW

To manage and deliver the referrals service as well as the Non-NHS requests, contacting patients as required and representing the practice in a polite, professional and caring manner.

Purpose of job / area of responsibility

Referrals service : managing and delivering the referrals service, ensuring it is fit for purpose & that processes are understood and followed by both admin & clinical staff. Carry out referrals work according to the agreed processes. The referrals service compiles / types / dispatches referrals to secondary and all other care providers; deals with queries (both from staff and patients) and expediting where necessary.

Non-NHS work: managing and delivering all non-NHS requests (medical reports, private letters for housing etc), ensuring that processes are understood and followed by both admin & clinical staff. Carry out non-NHS work according to the agreed processes, keeping good records by updating the relevant spreadsheet. The service compiles / types / dispatches non-NHS requests to patients and third parties; deals with queries (both from staff and patients) and works alongside the finance officer to check payments.

Maintain an approach of constant quality improvement.

Work in other sections as agreed.

General:
Communicate effectively with staff to know what tasks you are assigned to and what are the current priorities.

Communication: recognize the importance of effective communication within the team: communicate effectively with colleagues, patients and carers. Recognize peoples needs for alternative methods of communication and respond accordingly.

Ensure that you can effectively carry out any individual task that you are given responsibility for, and have been trained to do, according to protocols.

Team working as part of PST team. Be considerate to the needs and wants of the team to provide and efficient service to the practice and to patients.

IT Systems

Telephone system fully understand the telephone system and its functions to ensure effective answer and transferring of calls. To effectively open and close the system.

Computer system to be familiar with the clinical computer system to be able to carry out your duties fully understand opening and closing of the system, managing minor system faults and failures, understand the impact of faults and failures and the necessity to report them.

To use and guard your smartcard according to practice protocol.

Personal/professional development and quality:
The post-holder will participate in any training programme implemented by the practice as part of this employment, with such training to include:
Participation in an annual individual work review, including taking responsibility for maintaining a record of own personal and/or professional development

Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work

Play a full role in team and department meetings and attend training events as requested. Adequate notice and time off in lieu will be given.
