An exciting opportunity has arisen for an Academy Administrator within Yorkshire Ambulance Service Academy to work closely with the Academy’s Education team.
YAS Academy delivers and supports the education and development activities to approx. 5,000 staff and 1,300 volunteers across the four different YAS Academy training sites.
To enable us to meet the future needs for our services we are seeking a passionate and inspirational colleague who has the relevant experience and capabilities to deliver outstanding performance, and who is able to contribute to the development requirements of the department and the organisation as a whole.
We are looking to appoint an Academy Administrator who will act as the first point of contact for a range of education and learning activities and will undertake all administrative processes relating to the delivery of a professional, customer focused education and learning service for the Trust.
Job Role Summary
The Academy Administrator will act as first point of contact for a range of education and learning activities. The post holder will undertake all administrative processes relating to the delivery of a professional, customer focussed Education and Learning service for the Trust.
They will support the production of timely and accurate workforce/performance information.
Liaise with key stakeholders in order to deliver the key requirements and objectives.
Communicate with key departments to ensure a streamlined and professional approach.
The Academy Administrator will be responsible for maintaining stock levels and the procuring of consumables and equipment as necessary.
The post holder must be an effective communicator an be able to receive and send information effectively to the correct department. Assist in the production of presentation material, learning packs and course programmes, making adjustments to plans where required.
Yorkshire Ambulance Service (YAS) serves over 5 million people in the Yorkshire region covering an urban and rural area of almost 6,000 square miles and operates over vastly differing terrain ranging from isolated moors and dales to city centres, large urban areas and coastal stretches.

The Academy is spread across four main sites across the Yorkshire region, York, Leeds, Wakefield and Doncaster and has a team of approx. 95 staff.
Core Responsibilities
- Provide efficient, effective and customer focused education and learning transactional/administrative services as set out in relevant department, organisation and NHS policies and
- Provide a customer focused and supportive administration service to the YAS Academy
- Update Education and Learning systems for changes in employee details, training records, course bookings
- Responsible for maintenance, ordering and security of stationary stock and office supplies, checking and processing
- Responsible for uniform ordering/monitoring for new starters/students whilst in education and
- To assist in the maintaining of the accurate and effective filing system in both electronic and paper formats for all departmental records and ensure associated documentation is kept up to date.

- Open departmental post and distribute as
- Ensure all filing - paper and electronic - is kept up to date and filed
- Provide administrative support to the Education and Learning team leadership
- Answer the Education and Learning team’s incoming telephone calls and provide an appropriate response to all
- Maintain computerised records as required e.g. training records, course bookings, course feedback
- Prepare management information as requested
- Assist in the provision of information for Board Reports; Annual Reports; Workforce Plans and outside agencies
