**Part-Time Administrative Officer at Newcastle International School**

Newcastle International School (NIS) presents an opportunity for international students to acquire valuable English skills, ignite transformative experiences and receive a comprehensive education in real-world, both social and professional, academic, and Exams prep English Environments.

In line with our summer school activity, we are actively seeking a dynamic and self-motivated Part-Time Administrative Officer to be part of our vibrant team.
- **Principal Duties & Responsibilities**:_

**Customer Service & Sales**

Welcome new students on their first day, be a part of the student induction upon arrival, assist them with admin issues during their stay with us and help learners wrap up their stay with us prior to their departure.

Be readily available throughout the day to answer questions and handle issues. Share your insights with students to enrich their learning experience.

Handle complaints effectively following NIS guidelines and escalate when necessary.

Interdepartmental Communication

Liaise with other departments including Sales & Marketing, Admissions, Finance, and the Academic team, adhering to agreed internal service targets.

Contribute to the school's social media platforms to enhance its presence and engagement with current and prospective students and other external parties.

Ensure students' feedback is systematically collected, recorded, and addressed.

**The NIS Summer Social Programme**

Develop and manage an engaging summer school social activities for all students, considering the varied course schedules and options.

Take payments and arrange volunteers for our social events, and enthusiastically promote the social program.

Create promotional materials for the social programme, abiding by the company guidelines.

**Accommodation**

Place students in appropriate accommodations, such as host families, hotels, and student residences.

Address any accommodation issues promptly and work with the line manager for quick resolution.

Send accommodation information to students and agents upon booking.

Recruit and maintain relationships with host families and residential accommodation providers.

Uphold accommodation paperwork according to internal and external standards.

**Administration**

Adhere to the operational systems, procedures, and processes to maintain governance, compliance, and Health & Safety standards.

Keep the school database updated with accurate student details, ensuring precise records of student attendance and timely communication of absences to academic management and other stakeholders.

**Welfare**

Be accountable for the welfare, safety, and care of students at all times, with heightened duty of care for students under 18. You will receive training if you do not already have safeguarding level 1 training as you will be dealing with younger learners.

Ensure adherence to the school rules. Keep the reception area and school premises tidy, reporting any maintenance or cleaning issues to the Managing Director.

Inform the Managing Director of any welfare issues, keep records and keep the team and other senior managers informed of any significant welfare issues.

Stay current with all aspects of student welfare and health & safety, making a commitment to developing knowledge of safeguarding regulations for children and young people.

Participate in the out-of-hours rota to provide emergency telephone support.

Record attendance and follow up on absences, particularly ensuring diligence with under-18s not attending class.

Contact students with low attendance or those who have missed consecutive days.

Share responsibility for out-of-hours student communication, such as student emergency phone cover when required.

Numerate and IT literate, particularly proficient in Excel

**Salary**: £29,167.94-£85,087.40 per year
