The person appointed will be responsible for the provision of a customer-focused and efficient front-line reception service to patients, staff and visitors to the Clinic. The successful applicant will be of a professional appearance, articulate, confident and proactive with good communication and IT skills with a pleasant telephone manner.

**Roles and responsibilities**
- To answer and/or appropriately refer all incoming calls to personnel within the unit
- To provide general information and assistance to patients, visitors and staff
- To offer and provide refreshments for patients if requested
- To ensure the reception and waiting room are kept clean and tidy
- Take payments by cash or card in person or by card over the telephone
- Raise and process patient prescriptions as required
- Complete consultation lists and extract patient notes when required
- Booking patients into treatments blocks, make scan and counselling appointments on the computer system
- Issue receipts and refunds due to patients
- To provide cover when the invoicing clerk is on leave
- Filing of medical notes, letters, test results and other correspondence
- To perform routine office support duties
- To maintain confidentiality at all times and adhere to the HFEA Code of Practice and Guidelines
- A willingness to undertake any appropriate duties deemed by the Administration Manager to be part of the role of the receptionist
- To liaise closely with a range of departments to ensure that there is a two-way flow of information with colleagues and a mutual understanding of relevant systems and processes; to contribute to other areas of work within the TFP GCRM Unit as required.

**Education and qualifications**
- GCSE English Language and Mathematics at grade C or above (or equivalent qualification)

**Experience and knowledge**
- Excellent communications skills (both verbal and written) and the ability to communicate with a wide variety of individuals.
- Good knowledge of Microsoft Office particularly Word and Excel.
- Pleasant telephone manner ability to work effectively within a multidisciplinary team, empathetic approach to couples with fertility problems.
Competence in handling large sums of money.
- Basic account keeping skills
- Ability to work on own initiative.

**Desirable**
- NVQ level 2 qualifications (or equivalent).
- Experience of electronic appointment systems.
- At least two years experience as a medical receptionist.
- Previous cashier or banking experience.
