We are looking for an experienced NHS administrator to work in the West Locality 0-19 team.

The post holder will support the Health Visiting and School Nursing team and will preferably have experience of working in the NHS and for a variety of services and be able to articulate their administrative and personal skills that will support them in these roles.

The base for the post holder will be at Child and Family Centre Axe Street Barking or Thames View Health Centre.

**Key Responsibilities**:
1. Maintaining efficient systems for client records by creating, maintaining, filing, archiving and when necessary, locating missing notes and arranging transfer of notes between Departments as requested by clinical staff.
2. Dealing with routine enquiries in a pleasant and helpful manner,
communicating relevant information to stakeholders, referring to others as
appropriate
3. Pulling and filing notes for clinics and updating as necessary, opening and
sorting post, faxing and photocopying as required.
4. Responsible for compiling and producing computer generated letters with minor amendments.
5. Typing of letters, agendas, minutes, papers and reports as required by your manager.
6. To encourage and develop teamwork within the team.
7. To highlight any operational concerns regarding administrative systems so that they can be reviewed.
8. To ensure a safe working environment as indicated by your manager.
9. Distribute patient satisfaction questionnaires and audits as instructed by your Manager.
10. To photocopy notes when necessary.
11. Cover other teams/services, where necessary, which may require working on other sites.
12. Ensure that office supply levels are monitored
13. Able to work on own initiative, prioritising work, within defined policies and procedures to set timescales.
14. Have a flexible adaptable approach to work in order to meet various
deadlines.
15. To carry out other appropriate delegated duties as required

COVID-19 Vaccination

Probationary Period

Starting with NELFT
NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focusing in engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.

High Cost Area Supplement - London
This post also attracts payment for High Cost Area Supplement of 15% of the basic salary (minimum payment of £4,313 and a maximum payment of £5,436 per annum pro rata).

**Duties and responsibilities include**:
Front of House
1. Receive and make telephone calls as required. Divert calls and take
messages ensuring accuracy of detail and prompt appropriate delivery
2. To present a calm and friendly image to clients.
3. To monitor and record all visitor details
4. Promote the image of the department, checking that notices and leaflets are up to date and well presented

Computer/Administration
1. Input patient data onto relevant system. Being able to retrieve reports from RIO or equivalent, as requested by the multi-disciplinary team.
2. Liaising with IT Department concerning problems with soft / hardware.
3. Demonstrate office systems and department requirements to new starters.
4. Undertake research and development as directed.
5. To participate in audit as requested.

Communication
Recognising and responding to clients who have communication barriers.
Ensure an effective and efficient front of house service is provided to patients and any other visitors to the clinic area.
Deal with all general enquiries, communicate procedures and make new and follow-up appointments.

**Specific Tasks directly related to the post**:
1. To undertake mandatory training as required.
2. To maintain an updated record of training sessions attended and learning
experiences/outcomes.
3. To receive clinical supervision and child protection group supervision in
accordance with Organisation standards of practice.
4. To undertake and participate in the appraisal and personal development plan
system to enable a focus on personal and professional development.
5. To maintain accurate contemporaneous school nursing documentation in
accordance with Organisation standards of practice.
6 To attend School Nursing Forums and Team meetings and other meetings as requested by the team leader/ Operational Lead to take minutes as required.
