Reports to: Head of Artistic Planning - Projects
Rate of Pay: £17,331.60 per annum
Contract: 30 hours per week, permanent contract

The Projects Assistant supports the smooth running of the Artistic Planning, Projects department and associated projects.
The Projects Assistant provides administrative support to the wider department. Working alongside the team, the Projects Assistant will maintain an awareness and understanding of the various projects and support the delivery of those projects as required.
The Projects Assistant will act as the main point of contact between the general public and the department, advocating for the Theatre Royal Plymouth including representing the Theatre at relevant meetings and events. They will support and develop administrative functions using our in house systems for ticketing, finance and space bookings.
The Projects Assistant will ensure compliance with all company policies, particularly Equal Opportunities and Safeguarding Children and Vulnerable Adults.
An Enhanced Criminal Records Bureau screening is essential for this post.

The Role
- To support the administrative running of Engagement & Learning projects, working closely with the relevant project managers
- To provide support for projects, productions and events where appropriate
- To support the monitoring and evaluation of projects, including collation of statistics for all activities and completion of the Arts Council’s end of year return
- To induct volunteers and work experience placements and provide pastoral care and support as appropriate
- To upload participatory activities to the ticketing system and take bookings and payment from members of the public, in collaboration with the ticketing team
- To administrate the regular group programmes including course renewals and audition bookings and collation of registers and consent forms
- To generate contracts for freelance practitioners
- To arrange and attend department and project meetings, taking minutes and circulating meeting papers as required
- To work closely with the Project Managers to run the work experience programmes and to manage all the administration thereof
- To lead tours of TR2 as required
- To coordinate the delivery of Safeguarding training for all members of staff who require it, booking the trainer and liaising with HR
- To maintain the organisation’s database, Tessitura, and to lead on its development as a customer relationship management system liaising closely with colleagues across the Theatre
- To manage the booking system for all technical equipment
- To manage the basic day to day finances of the department, including managing petty cash and liaising with the Theatre’s Finance Department
- To ensure the Engagement & Learning section of the website is kept up to date through liaising with the relevant producers, and to administrate the website working closely with the Theatre’s Marketing department
- To act as a representative for the department as necessary
- To work evenings and weekends as required
- To carry out any other reasonable duties that may be requested from time to time.
