The Role

Are you an experienced administrator with a strong eye for detail, excellent organisational skills and experience working with financial data?

We are looking for someone who is a good team player who has strong interpersonal skills as this work involves a lot of liaison with different stakeholders within and outside of the University. You will work closely with the School Research Manager, our Academic Director of Research and our School Manager supporting the School’s strategic research goals and will be given training in the University’s research management and financial systems.

Key Accountabilities
To provide advice and guidance to academic staff on costing and planning research proposals, conferences, networks, fieldwork and other activities, with reference to guidelines on sponsor pricing policies, ensuring that correct procedures are followed, and maximum recovery of costs is achieved
To work with academic staff to create project files on the University’s research management system, including the overseeing of the authorisation process
To provide financial support to research projects including the generating of standard and ad hoc reports, monitoring budgets and advising on forecasted over/under spending
To act as the first point of contact with research support services as allocated by the Research Manager
Responsibility for all operational aspects of allocated research accounts, overseeing all aspects of purchase ordering, invoicing and sales, devising and maintaining budgetary control mechanisms and associated procedures to ensure the smooth running of the projects. This will involve checking all requisitions prior to signing by the budget holder; checking and authorising sales invoices, credit notes, fees and expense claims (both electronic and on paper) to ensure that all transactions are carried out in line with School and University regulations
Ensure that all information on such transactions is recorded accurately and fully, to enable clear audit trails and evidence that accounting procedures are adhered to
Provide accurate and up-to-date advice for academic staff and the support team on University regulations and external requirements, for example, Payroll regulations, VAT, vendor information, Procurement rules
Set up and monitor school research accounting mechanisms, reconciling internal spreadsheets with financial reports, initiating transfers between accounts (and WBS elements) and the reposting of costs where required
Responsible for the administration of the School’s External and Internal Quality Assurance processes under the direction of the Director of Research
Be responsible for ensuring that the school web editor is kept up to date with information about research projects, seminars, conferences and other activities, and to act as a central point for the coordination of school, faculty and University research news items. To help maintain and populate the School Teams sites with useful Research related information for staff
Be a member of the appropriate research cluster (currently our School and the School of Arts and Cultures) to share best practice and provide pre-award cover across Schools within the cluster as required, within the agreed principles

Experience of working to a high standard within a financial/administrative role that is relevant to this post

Ability to draw inferences from financial data, including forecasts of expenditure, and to explain conclusions effectively to non-financial experts (academic and administrative staff)
High level of knowledge and experience using Microsoft Office programs including Excel
