**JOB DESCRIPTION FOR: ADMINISTRATION SUPPORT**

**JOB TITLE**: ADMINISTRATION SUPPORT

**JOB PURPOSE: REPORTING TO**:
To support the Office Administrator with relevant purchasing, contract review activities, stock control and packing/dispatching activity required.

Cover and support incoming phone calls into the business.

Check and Issue Job Cards to production in a timely manner.

Ensure dispatching of goods have correct paperwork, packaging and are in
line with OTD KPI Target.

Ensure critical parts are incoming against lead times

**MAJOR TASKS**

1. Answer incoming calls into the business and liase professionally at all times with both Customers and Suppliers as and when required.

2. Support all Contract Review activity.

3. Ensure documentation for packing and dispatching of all outgoing product against OTD is met in full.

4. Ensure critical raw material is on order and on time against stock levels.

5. Ensure works orders are issued to production in a timely manner once contract review is completed..

6. Ensure the production order book reflects reality of parts availability.

7. Organise carriage and transportation to fall in line with OTD to customer.

8. Promote, encourage and lead continuous improvement activity across your areas of responsibility. Focused to continually help to reduce costs, reduce standard times and reduce downtime.

9. Continually practice LEAN methodologies such as 5 Waste, 6S wherever possible.

10. Ensure a “good housekeeping” culture is maintained throughout your areas of responsibility.

11. Take on any reasonable request from the General Manager or Company Director in accordance with Birfords direction

**GENERAL TASKS**:
12. Maintain Health and Safety as it applies to the Company’s operations.
13. Ensure GDPR Processor Responsibilities are covered in full and personal data is protected at all times.
14. Support and liase with the General Manager on personnel issues with respect to conditions of service, rates of pay, appointments, and terminations according to our current Company handbook and relevant policy.
15. To be accountable for the department’s use and maintenance of all plant, buildings and equipment.
16. To assist with the development and encouragement of team work throughout the company.
17. Ensure the Company’s disciplinary and working procedures are adhered to as stated in our Company’s manuals, policies, contracts and handbook.
18. To assist in the development of a continuous improvement culture..
19. To be responsible for the security of the department’s area.

**Salary**: £22,500.00 per year
