**Role Purpose**
To support the Leadership Team in the effective management, development and planning of the organisations support services, maintenance, and supply of essential contracts.
**Main Duties**
- Ensure that buildings and facilities meet the required health and safety and fire safety requirements and government legislation.
- Overseeing safety regulations and risk assessments relating to all aspects of health and safety and fire regulations.
- Liaise and manage contact with our external ‘Competent’ contractor and action recommendations. To undertake building and health and safety checks and audits as required.
- Managing maintenance of equipment.
- Review and management of CCTV system.
- Monitoring and review of master keys and key holders.
- Ability to undertake smaller repair jobs around the hospice.
- Inspecting and reporting on maintenance issues.
- Mechanical, electrical, and plumbing oversight.
- Responding quickly to emergencies that arise in the workplace, dealing with them appropriately.
- Overseeing contractors across our hospice and local retail sites. Ensure work is completed to a satisfactory standard.
- Project managing small works across our hospice and local retail sites. Ensure work is completed to a satisfactory standard.
- Coordinating and planning essential business services such as waste disposal and recycling, security and building maintenance contracts and service agreements.
- Managing and leading on any changes to facilities to ensure minimum disruption to activities.
- Responsibility for the procurement of business utilities, optimising usage and spend.
- Oversight and negotiation of insurance contracts across the organisation.
**Administration**
- Take responsibility for own administration, including filing, always completing to the highest and most thorough standards.
- Maintain accurate and up to date records using agreed systems, including Xero, Beacon database and MS Office 365. Use these to set up and run reports in order to provide information to the Head of Finance.
- Respond in a timely manner to enquiries/queries.
- Support directly or via signposting for IT queries e.g., Use of MS 365
**General Duties**
- Work collaboratively and cooperatively with your Beaumond House colleagues.
- Abide by the Health and Safety at Work Act
- Work within Beaumond House policies and procedures
- Participate in and contribute to team meetings.
- Always behave in a professional manner, reflecting and maintaining Beaumond House values
**Skills, Experience and Attributes Required**
- Knowledge of or be willing to complete appropriate training and qualifications in:
- Cleaning procedures* COSSH Procedures* Infection prevention and control* RIDDOR
- Relevant water systems training
- Excellent problem-solving skills.
- At least 2 years of working in a similar role
- Experience of working for a charity is desirable but not essential.
- Clear understanding of confidentiality and data protection with written and computerised materials and processes
- Knowledge of the voluntary sector and volunteering is desirable but not essential.
- Ability to organise self, prioritise varied workloads, plan effectively and work to deadlines.
- Ability to achieve a high output, whilst maintaining quality demonstrating patience and perseverance when faced with setbacks and challenges
- Strong communication skills with the ability to communicate effectively and creatively, both verbally and in writing
- Ability to support colleagues and build good working relationships at all levels
- Ability to work unsupervised and work to own initiative.
