Our Facilities Assistants play an integral role ensuring our offices and services are sustainable, compliant and cost-effective. Working as part of a highly skilled team, each Facilities Assistant should deliver an exceptional service whilst using innovation to proactively multi-task in a fast paced, evolving and exciting environment. Due to the nature of the tasks, there is a high level of manual handling and heavy lifting required of the post holder. The post holder must be energetic, demonstrate a willingness to help, and have a positive can-do attitude.

Facilities Assistant

**Job Description**:

- Working as a key part of a highly skilled Facilities team, supporting the business to ensure a smooth and efficient service delivery experience. This will include, but is not limited to, the operation of the mailroom services
- Contribute to the performance of the Facilities department and its ongoing continuous improvement
- Proactively reporting maintenance and Health & Safety as part of routine inspections.
- Ensuring dentsu Facilities procedures, policies and systems are implemented and reviewed to ensure our offices and services meet business objectives. This will include supporting dentsu agile working practices e.g. assisting with the implementation and management of the various locker systems
- Remaining vigilant for security matters and supporting security policies through clear desk policy implementation, laptop security, spare key management
- Procure goods and services in line with budget, to include stationery and office supplies, security consumables, keys, off-site archiving (non-exhaustive list)
- To support the Front of House team with meeting room requirement set ups by continuous and proactive engagement.
- Maintenance and delivery of dentsu poster communications policy throughout the building
- Continuously support the safe environment for employees and visitors to our buildings by having regard for all Health and Safety legislation, plus dentsu Policy and Procedures
- Promote dentsu Policy and Procedures by undertaking new starter Health and Safety inductions along with undertaking Desk Screen Equipment and New Expectant Mother assessments
- Undertaking various H&S checks throughout the building including weekly floor walks reporting on slips, trips and hazards and any other H&S issues.
- To provide multi skilled cover and support for the Facilities Helpdesk and Front of House teams when necessary
- Deliver quality mailroom services by meeting all appropriate SLA’s and deliver a consistent service which exceeds customer expectations. This includes but is not limited to:

- Sorting, scanning and delivery of post, parcels and general deliveries to our buildings and externally
- Collecting and processing all outgoing post
- Management of couriers
- Updating of systems re starters/leavers/moves
- Supporting the business by being involved in the preparation and implementation of internal or external dentsu events (pitches, meetings, events)
- Continually strive to find ways to reduce incoming mail
- Must be a self-starter
- Strong eye for detail
- Customer service skills
- Ability to innovate and consider improved ways of working
- IT skills and a good understanding of Outlook + Microsoft Office
- Ability to communicate clearly and effectively
