**Summary / purpose of the position**

Being part of the Asset Team, you will contribute efficiently to its organization. You will provide high-level and efficient administrative & project support and will have to interact with high level executives and other colleagues, in a fast paced and demanding environment.

**Main responsibilities / job expectations**

**Admin support to Asset Lead & Team Coordination with a high focus on marketing projects**
- Ensure proactive diary management and resolves any conflicts of diary
- Be the preferred point of contact for responding to and handling queries from any stakeholders
- Manage travel & expenses for the Asset Lead, accommodation and related itineraries, in compliance with the company policies and procedures
- Organize and coordinate meetings both on and offsite, build meeting agendas
- Ensure minute-taking of asset team meetings when required and act as project management officer for the asset team to ensure that actions are followed up on
- Prepare agendas and circulate any related documentation prior to the meetings
- Support marketing campaigns
- End-to-end execution of cost controls related to promotional activities, from following internal approval process to invoice follow-up with supplier.
- Coordinate the copy approval process for marketing assets (e.g., brochures, promotional materials, etc.)

**Documentation**
- Ensure that the Asset Team has all relevant documentation for meetings, to implement/maintain an efficient storage and retrieval system for all documentation, inc. SharePoint
- Design and implement filing systems and ensure they are maintained updated
- Ensure security and confidentiality of data

**Budget follow up & Purchase orders**
- Deal with Purchase Orders, checking all invoices and tracking payments
- Manage service contracts with suppliers in close collaboration with Corporate Legal Affairs/Purchasing
- To ensure all actions are conducted through ethics & compliance company policy & flag when a risk is identified
