The post holder will provide day-to-day administrative and/or dedicated PA support to the Directorate or senior management team. They will maintain effective working relationships with a variety of stakeholders both internal and external to the organisation. The post holder will work with mínimal supervision and be expected to work flexibly as part of a multi-disciplinary team providing a wide range of specific administrative duties. The post holder may work with colleagues who are based across the country at different sites and/or who work remotely.

This vacancy is home based, ad-hoc and occasional travel maybe required
1. Provide co-ordinated and comprehensive administrative support to the ACT team.
2. Communicate and engage effectively with a range of people, including internal and external staff and stakeholders.
3. Responsible for the organisation of meetings and events and production of reports, papers, minutes and meetings notes as required.
4. Support the development of systems and procedures where necessary to ensure efficiency, quality and cost effectiveness across the business support and administration function.
5. Participate in relevant internal and external working groups/projects, services and initiatives to maintain data collection systems for effective use by the team, provide information/analyst advice and business support to designated managers/project leads.
6. Carry out timely and accurate information analysis and reporting on agreed areas of their working area and present findings in an agreed manner.
7. Contribute to effective information management and assist with the dissemination and/or collation of information/returns for the team in a timely manner.
8. Responsible for organising and controlling own workload ensuring deadlines are observed and duties performed efficiently.
9. Support a culture of continuous improvement regularly participating in and contributing to reviews, lessons learned and look back exercises.
10. Undertake project administration support for as needed, responding to information requests and other tasks which will involve meeting tight deadlines.

Essential Criteria

Significant administrative experience including developing, implementing, and maintaining office systems with the ability to work as part of a team and able to demonstrate a professional attitude at work whilst remaining flexible and adaptable to meet the needs of the business

Experience of organising meetings and producing supporting paperwork, including agendas and taking minutes/action notes

Proven communicator with excellent writing, data entry and presentation skills; capable of constructing and delivering clear information/ instructions to a wide range of people

Ability to work without supervision using own initiative, organising and prioritising own and others workloads to changing and often tight deadlines

Advanced keyboard skills, competent in the use of a range of software including Microsoft Office

Ability to work on own initiative and organise own workload with mínimal supervision working to tight and often changing timescales

Desirable Criteria

Numerical data analysis ability for purposes of production of reports

This vacancy is home based, ad-hoc and occasional travel maybe required.

The balance between home and workplace working is to be agreed with the line manager, determined primarily by business need and in line with departmental policy.

Some business travel may be required to other UKHSA offices. Business travel between base location and any other UKHSA offices will be covered under the UKHSA Travel and Expenses policy.

Please be aware that this role can only be worked in the UK and not overseas. Relocation expenses are not available.
