Office Assistant

The Office Assistant will be delivering a high quality support service within the office, you will provide support to help with Office Management including managing the post, monitoring and organising stock of facilities items, managing diaries, organising meetings, expenses, and maintaining office systems.
**What will I do in the role?**
- Assist in the day to day running of the office, keeping it organised and tidy
- Acting as a first point of contact: in office, including meeting and greeting visitors/employees, dealing with correspondence and phone calls
- Ensure a professional and positive image of the company is presented at all times either face to face or on the phone.
- Sort and distribute incoming post and deliveries, organise any outgoing post
- Ensure all basic facilities and support queries are dealt with swiftly
- Monitoring and ordering office supplies, restocking the kitchen, obtaining supplies where unable to order and managing security fobs.
- Support the Office Manager in reporting minor facilities issues and carrying out checks
- Manage and maintain diaries for the Heads and Directors, providing support for internal and external meetings
- Booking lunches, venues, travel and accommodation, using cost controls to ensure best value for money
- Publish the weekly briefing sharing news from the Senior Leadership team
- Organising social events as and when required by the Office Manager
- Maintain the desk, room booking, visitor / entry system and car parking facilities for office attendance
- Any other ad hoc tasks
**What do I need?**
- Proven experience in administration, and some facilities management will be beneficial
- Good verbal and written communication skills
- The ability to work as part of a team and share ideas and suggestions
- Ability to remain calm when challenges arise and remaining friendly and approachable
- Good organisational and interpersonal skills, with the ability to effectively multi-task and prioritise workloads
- Flexibility in working hours and good time management skills
- Ability to work on own initiative, with confidence and discretion
- Ability to understand the importance of confidentiality
- Effective IT skills to include: MS Office.

**Salary**: £23,000.00-£25,000.00 per year
