Executive Assistant

The postholder will be responsible for ensuring the delivery of an effective administration PA support directly to the CDIO, within IM&T. To ensure high quality secretarial support is provided and ensuring effective communication between internal and external colleagues.
The primary focus for our Executive Assistant is to enhance the Chief Officers’ effectiveness.
The post holder works closely with the Executive CDIO, and other senior managers, both within Informatics, and across the Trust.
Provide a comprehensive personal administrative service to the CDIO and as required to other members of the Executive Team, including, as required, the coordination of diaries, meetings, minute taking and preparation of meeting papers, filing, correspondence and maintenance of shared electronic records.
Work closely with the CDIO to support the prioritisation and planning of their workloads and ensuring they receive appropriate and thorough information in a timely fashion.
Ensure competent and accurate preparation of letters, reports, documents and presentations.
Ensure effective systems are in place to manage and prioritise correspondence to and from the office, including timely responses and acknowledgments.
Support the CDIO in organising and coordinating Board and committee meetings as required, including arranging meetings, drafting agendas, preparing and circulating papers, taking minutes and maintaining reporting schedules.
Communicate courteously and sensitively with a wide range of internal and external stakeholders.
Maintain an awareness of developments and new NHS initiatives which impact upon the direction of the Trust and the CDIOs’ responsibilities.
Deal with diverse and complex issues, acting on own initiative in problem solving and crisis resolution, ensuring that problems are resolved diplomatically. Proactively review workload and flag where conflict may arise.

Policy, Service Development, and Governance
To implement policies in own work area and propose policy or service changes which impact beyond own are of work. Drafting local policies and implementing actions as required.
Update information systems and use appropriate software to develop performance management reports.
Participate in quality management system, undertaking audits designed to improve IT systems and services.
Ensure that there is a proactive and comprehensive approach to risk management and be a key voice in striving for service continuity for areas within this remit and participate in the Informatics service continuity planning.
General
Comply with all legal, regulatory and Trust requirements including policies, standing financial instructions, standing orders and procedures.
Perform duties at all locations where Trust staff are based, including locations not owned by the Trust and other locations determined by the duties of the post.
Travel to off-site venues, as required to attend courses, conferences as designated.
Undertake other duties as required as designated by line manager, or Trust leadership team following consultation with line manager.
Health & Safety at Work
All accidents must be reported to your Senior Officer and you are asked to participate in accident prevention by reporting potential hazards.
Communications & Working Relationships
Communicate clearly, concisely and persuasively, both verbally and in writing.
Ability to negotiate, to be flexible, and to be supportive towards colleagues.
Communicate effectively with staff, Managers, Clinical staff at all levels, external service providers, and peer NHS organisations.
The post holder is expected to present information in an articulate and clear way, explaining complex issues, to a wide range of internal and external stakeholders.
Maintain effective communications with the Trust Leadership Team members to support Divisional responsibility and clear alignment of priorities and activities.
