This role will support the Project Management and Administration across the Line of Business.
Project Management
- The individual in this role will operate one or more of the PM&C (Project Management & Control) processes on a medium/large project or be responsible for some aspects of PM&C (for example scheduling) on a larger project.
- At this level the incumbent will be expected to work independently on routine aspects of the activity, and under guidance and supervision in more complex situations.
Administration
- The post holder is likely to take a major role in coordinating the department activities with internal customers or external suppliers, including taking personal responsibility for the monitoring and liaison with specified suppliers.
- This post requires considerable clerical experience and a comprehensive knowledge of the procedures of the department.
- The jobholder requires the ability to arrive at conclusions and follow the most appropriate course of action. Works within procedural constraints.
Core Duties
- Non-Complex PM&C reporting
- Non-Complex project scheduling
- Intermediate problem solving
- Administration and general office skills including spreadsheets/Microsoft packages
- Develop a knowledge of Maritime Services processes and procedures
- Undertakes a range of specialised clerical and administrative duties within a department to ensure the smooth running of the department
- Processes complex and variable documents received from a range of sources and in line with department standards and requirements.
- Identifies and undertakes investigation into discrepancies with products or services through checking and analysing data and checking back through information flows, within and across departments.
- Places orders on suppliers and liaises with logistics providers, tracking deliveries of product and expedites product to suit schedule.
- Liaises with suppliers and/or customers (inc international) taking personal responsibility for certain specified accounts/contacts, resolves queries & problems and speed up the receipt and /or delivery of product.
- Analyses, collates and formats data from a number of sources in order to produce reports, schedules and summaries
- Requires an in depth knowledge of departmental procedures and processes in order that work is produced to an adequate quality.
- Good knowledge and understanding of PM processes, procedures and systems.
- PM&C experience demonstrated as a professional within a project.
- Good understanding of one or more PM&C tools techniques and practices.
- Knowledge of the Business environment for project.
- Knowledge of PM&C governance and assurance processes such as Integrated Baseline Reviews (IBRs).
- Experience of working with stakeholders inside the company.
- Ability to find and adopt best practice.
- Knowledge acquired through job related training and considerable on the job experience, generally non-theoretical skills
- Considerable experience in Business Support function
- Considerable knowledge of the team in which they work
- A basic knowledge of the Area in which they work
- Can use all Microsoft Office software comprehensively
- Needs a comprehensive knowledge of a range of work routines, procedures, and systems across a discipline.
- Understanding of project, its markets, customers, strategic priorities, and culture.
- Some understanding of the wider PM&C Management environment, and of developments and practices in the field.
- Some understanding of the structure, organisation, processes, and culture of project, so as to be able to support implementation of appropriate PM&C approaches.
- A good understanding of how team integrates with other teams in order to achieve objectives
- Business acumen that goes beyond immediate team.
- Accountable as a member of the project PM&C team for supporting development and implementation of appropriately tailored PM&C practices.
- No staff supervisory responsibilities.
- Informal technical support provided to new team members.
- Applies problem solving techniques to routine situations or situations of moderate complexity under supervision, in the field of PM&C, taking requirements and data from internal (capability) sources and external (customer, competitor and academic) areas.
- Gathers information. Supports development of solutions and of implementation approaches.
- Ability to make judgments on analysis of factual information.
- Impact in terms of providing services/information on matters that assist others in controlling or making decisions.
- Work is within standardised procedures and practices accuracy of tasks is impactful.
- Needs to work effectively in a team.
- Needs to take responsibility for own performance and development.
- Job involves regular exchange of information and occasional handling of awkward contacts. For example, explaining to the project manager the potential schedule implications from SPI/CPI trend analysis.
- Communication is a key aspect of the job.
- Will need to be able to confidently liaise with robust and sometimes awkward contacts.
