**Job summary**:
Band 2 Receptionist/administrator 37.5 hours (permanent)

Diabetes and Endocrine out-patients

An opportunity has arisen for a Receptionist /administrator to join our existing administration team based at the Diabetes and Endocrine centre at Birmingham Heartlands Hospital.

The role requires an individual who can effectively communicate and manage a highly detailed and varied workload. You must have excellent communication skills in dealing with members of the public and staff at all levels

To be considered; you must have NHS experience working as a receptionist/administrator, must be familiar with Oceano, Optims, portal, and ERHA, and have a good general education

**Main duties, tasks & skills required**:

- First point of contact for patients / visitors
- Dealing with patients on arrival for clinic and booking them into and out of clinic
- Schedule patients into clinics using the criteria set out by the trust and the clinical speciality
- Processing patient appointment attendance using a variety of hospital information systems
- Dealing with telephone queries from patients or staff, GP's
- Making, amending, cancelling appointments
- To exercise initiative and judgement based on acquired knowledge and experience when

dealing with enquires
- To assist colleagues as directed by the line manager in times of pressure of work
- Maintain filing system where necessary
- Arranging translation for patients
- Photocopying
- Maintain confidentiality at all times in accordance with Calidicott guidelines and Data

**Qualifications**:
**Essential**:

- Good General Education (e.g. GCSE English and Maths A-C) GCSE Level 9-4

**Experience**:
**Essential**:

- Experience of dealing with the Public/Customer service experience
- Experience of working with a range of Microsoft Office packages (eg. Word, Excel and Outlook)
- Experience of using IT systems
- Experience of working in a busy office / customer care environment

**Desirable**:

- Experience of working in Healthcare

- Good communication / customer care skills both written and verbal demonstrating sympathy and compassion
- Standard keyboard / IT skills
- Good organisation skills and ability to multitask
- Good time management skills
- Ability to deal professionally with enquiries from staff, service users and stakeholders
