Earthwatch Europe is looking to recruit an experienced Finance Assistant to join our team. This is a great opportunity to join a small finance team within a dynamic international organisation with exciting future plans.

You will be joining a small Finance team that is part of our Operations department, which also includes colleagues from HR, IT and office management.

**RESPONSIBILITIES**

**Role Purpose**:
To ensure that the finance department runs smoothly, offering everyday support to the rest of the organisation alongside the other members of the team, including general administrative support.

**Key Deliverables**

**Purchase Ledger**:

- Managing purchase ledger -posting invoices in a timely and efficient manner, matching invoices to POs, ensuring that invoices are scanned, uploading copies of invoices and supporting documents on the system, making sure that invoices are coded correctly by budget holders, adding new suppliers on the system.
- Monitoring purchase order system - ensuring that POs are raised prior to ordering goods, making sure that staff follow finance procedures, informing new suppliers about the purchase order system
- Supporting staff with expense claims, including advise on coding and ensuring expenses are posted and approved within the month they are occurred.

**Bank Reconciliation & Payments**:

- Review and post bank transactions on a daily basis
- Prepare monthly bank reconciliation for all accounts including PayPal
- Preparation of BACS payments
- Prepare international and other one-off payments
- Deal with banking queries
- Manage petty cash
- Monitor exchange rates
- Credit card reconciliations
- Monthly interest journals

**Individual Giving**:

- Setting up new customer accounts
- Raising Sales Invoice, ensuring sales invoice requests are filled in accurately by staff and coding is correct
- Chasing up outstanding debts and dealing with customer queries

**Other**:

- Preparing stock journal
- Supporting with month end duties and processing journals within a reasonable timeframe
- Covering roles for other members of the team in the case of sickness or holiday
- Booking all items promptly and efficiently, creating clear audit trail
- VAT preparation on a monthly basis
- Intercompany reconciliations

- Previous experience working in a finance team with a good understanding of the Finance Assistant role
- SAGE knowledge essential
- Excellent administrative and organisational skills
- Demonstrable ability to maintain and improve systems and processes
- Good numerical skills with excellent attention to detail
- Ability to explain financial processes to non-financial staff
- Intermediate MS Excel skills
- Purchase ledger experience
- Strong interpersonal skills with a customer service focus - able to liaise effectively internally and externally at all levels
- Ability to prioritise and work to strict deadlines
- Effective team player with a flexible approach - willing to assist other team members to achieve deadlines and objectives
