Established in 1952, HorseWorld Trust is a registered charity based in Whitchurch, near Bristol, committed to rescuing, rehabilitating and re-homing horses, ponies and donkeys in need. Our Welfare department provides a home to all our new arrivals, including sick, neglected and traumatised horses and ponies. We have a team of trained staff committed to their care and rehabilitation and eventual re-homing. HorseWorld also runs a ground-breaking educational programme called Discovery which supports emotional growth and learning in young people through hands-on experience with our rescued horses, ponies and donkeys.

**Job Title**

Discovery Operations Coordinator

**Job Purpose**

To coordinate the smooth running and efficient delivery of the Discovery programme with a team of Facilitators liaising with schools and other referrers for Discovery sessions. Collating and analyzing data for internal and external stakeholders.

**Salary**

£25,200 per annum

Full time, 35 hours per week, Monday to Friday

**Role Overview**

A highly organised dynamic caring person, working as an integral member of the team supporting the effective delivery of our Discovery Programme and with strong interpersonal skills for working and maintaining excellent relationships with our internal and external stakeholders. Able to work with own initiative and make decisions.

**Key Tasks**

**Discovery Programme**
- Support the smooth running and day to day delivery of the Discovery programme,
- With the HoD, and Senior Facilitators organise bookings, compiling appropriate paperwork, arrange TAC [Team Around a Child] meetings for the participants to attend Discovery.
- Coordinate Discovery funding, collating funding data and inputting into reports/submissions to funders. Attend funding meetings as required. Providing impact reports to internal and external stakeholders. Attending events as appropriate.
- Ensure sufficient information is available to promote the success of the Discovery programme.
- Supervise the recording and analysis of Discovery statistics, liaising with the fundraising team to share outcomes with our supporters.
- Supporting Facilitators where necessary with other providers of alternative learning provision and collating the relevant paperwork for next step outcomes
- Build relationships with key stakeholders and maintain an overview of Alternative Learning Provision commitments.
- Support the HoD to ensure routine external reporting requirements are met.
- Liaise and correspond positively with clients/referring organisations, interact positively with participants/volunteers or any other person whilst overseeing tasks. With facilitators, produce follow up reports for referring organisations, including reports for Education, Health, and Care Plans (EHCP)
- Have an understanding of Alternative Learning Provision for children and young people ensuring routine reporting is met.
- Report to the Head of Discovery for any decisions regarding external partners including all session tasks and involvement of young people.
- Support the administration of the EAS Diploma qualification.

**Responsible for**
- Liaise on departmental concerns supporting the Head of Department with solutions
- Working collaboratively having a solution focused approach with other departments in HorseWorld
- Support the Senior Facilitators to manage the day-to-day staffing of the Discovery programme delivery, including staff rotas, diary management, timesheets, cover, communications to team and team meetings, Discovery newsletter.
- Maintain Discovery protocols and procedures, updating when necessary.

**Other duties to ensure the effective operation of HorseWorld**
- Demonstrate behaviours consistent with the HorseWorld Code of Conduct, safeguarding & confidentiality.
- Attend and contribute to meetings, training and development and PR activities as required.
- Take responsibility for clothing, footwear and PPE issued to you.
- Ensure that any hazards or problems are dealt with / reported to the Head of Discovery as appropriate.
- Present HorseWorld and HorseWorld Discovery in a way that is consistent with its work and philosophy.
- Assist with events and visitors to the yard e.g., behind the scenes tours / open day events etc.
- Additional duties as required, to include working with other departments, attending internal/external events, assisting with promotional activities.
