**Office Administrator**

**Part time - approx. 20 - 22.5 hours a week**

Ideally the hours would be worked over 3 days (Tuesday, Wednesday, and Thursday), however this could be reviewed to suit both the business and the applicant.

Our full-time office hours are - Mon to Fri, 9am-5pm. (4.30pm on Fridays) with 30 minutes for lunch. 37 hours in total.

**This is an office-based, rather than work from home position**

**Location: Skipton, North Yorkshire.**

The National Bed Federation is looking for an office administrator with experience of the more general skills requirements of a small business to join its small but very busy secretariat team.

The NBF is a well-respected and influential trade association, representing its members - around 80 UK and Irish based bed & mattress manufacturers and their component suppliers.

It organises the UK’s major bed trade show, an annual conference for members and provides expert, unbiased help on all things bed and mattress related to its members, to retailers, consumers and the media. It also has an active sustainability agenda.

Like most trade associations, the NBF’s work is overseen by a Council drawn from the membership, headed by its President. Financial matters are overseen by the Treasurer and the main board. There are also several committees - marketing, finance, technical, circular economy. The day to day running of the NBF is the responsibility of the Secretariat, consisting of the executive director, head of marketing & membership, marketing & communications manager and a financial administrator.

As part of its wider industry role, the NBF also provides some administration support to the British Furniture Confederation (a consortium of industry trade associations formed to liaise over issues of common interest and engage with government on the industry’s behalf); and the Mattress Recycling Association. Both of these have mínimal requirements.

The NBF’s office is based in a converted mill in the heart of Skipton in North Yorkshire, about 10 minutes’ walk from the railway station - with free onsite parking.

We are a very small team - so chances are there will be days when you are the only person in the office.

**General administration**

As a small team, the administrator’s support role is important and varied. You will be the front end of the association, answering calls (and ensuring they are picked up by the right person) and getting to know and dealing with members’ queries.

The successful applicant should possess a friendly, polite, and upbeat manner on the telephone and understand the importance of delivering an excellent level of service to both internal and external customers. It is a fast -paced working environment so the ability to prioritise workload and work under pressure is essential.
- Data base management (we are currently setting up a new CRM system) and keeping on top of membership contacts and details etc - this will be one of the key areas.
- General office administration requirements e.g. ordering stationery, copier and printer consumables, preparing and issuing membership and audit certificates etc
- Assisting with service contracts e.g. insurance, mobile and telephone contracts, photocopier, franking machine, alarm, and PAT servicing etc
- Issuing membership renewal letters, conference invitations etc
- Setting up admin systems and records. Filing and sorting contents of office.
- Supporting the team at the annual conference (May time) and Bed Show and Gala Dinner (September), this will require very occasional overnight stays away to cover these events.
- Other administrative tasks as they arise
