To provide an administrative support service to the Safeguarding Team with a focus on Safeguarding Adults.
- To assist the team to ensure the appropriate and effective delivery of Safeguarding is delivered and maintained.
- To work as an integral part of the Safeguarding Team ensuring high quality services to ensue patient safety promoting a positive image for the Oxford University Hospitals NHS Trust.
- To maintain a high level of confidentiality when dealing with staff/patients or visitors.
- To provide excellent customer facing service at all times.

1. The post holder will be the effective first point of contact for Safeguarding Adults enquiries and will need to be able to convey information effectively to the Adult and Children Safeguarding Team.
2. The post holder will be arranging meetings, distributing agendas and taking minutes for team meetings.
3. The post holder will be required to input data onto Excel spreadsheets and assist the Safeguarding Team to maintain robust and auditable systems.
4. The post holder will regularly be required to use this data for monthly and quarterly reporting, producing graphs.
5. The post holder will be required to assist the team in arranging bespoke training sessions.
6. The post holder will regularly liaise with wards/departments to ensure that all relevant Safeguarding or DOLS paperwork is completed in a timely fashion.
7. The post holder will be required to support the maintenance of a consistent level of liaison between Oxford University Hospitals NHS Foundation Trust and Multi-Disciplinary Teams within the community. This will include Safeguarding and DOLS offices around the country, to chase or provide updates and update the wards.
8. The post holder will be prepared to respond to queries relating to health records, either by telephone or in person. This will include external agencies across multi-disciplinary services.
9. The post holder will advise the team of any concerns relating to information alerting them of pending deadlines.

1. To ensure all information is stored and used within the requirements of the Data Protection Act 1998, Caldicott principles, team procedures and Trust policies.
2. To enter relevant clinical and demographic information into appropriate electronic data system.

4. Responsible for creating and implementing administrative systems including filing systems (electronic or/and hard copy) templates, procedures, protocols and suggesting how systems can improve.
5. To assist with planning events and projects, and monitoring progress against deadlines, adjusting plans as necessary.
6. To be responsible for preparing orders for stock and non-stock items on Oracle, ensuring their receipt and preparation of invoices for payment and processing.
7. To enter relevant clinical and demographic information into appropriate electronic data systems.
8. To sort incoming post and to action it appropriately when required.
9. Using the Trust EPR system to obtain and return health records for authorised users from various departments within the hospital.
10. To ensure that all health records are tracked using EPR thereby maintaining accurate location records.
11. To carry out audits, notes retrieval and maintain dairies.
12. To contribute to the development, maintenance and implementation of local policies and ensure Standard Operating Procedures are in place and kept updated,.
13. As necessary and appropriate, to demonstrate skills to junior administrative and other staff.
14. To participate in the training/orientation of new and/or temporary staff.
15. To assist with the maintenance of stock control for stationery and other relevant consumables used in the clinical units and administration office.
16. To maintain filing system and other general ad hoc office management procedures.
17. To format reports required for senior staff, the Trust Board, or the OSCB/OSAB.
18. To undertake and maintain personal development through training and competence and to promote team development.
19. To communicate effectively using good verbal and written skills.
20. To demonstrate a flexible approach to work and assist with the provision of cover for absent colleagues.
21. The role requires a high level of concentration to be maintained, precise accurate detailed work and at times, emotional effort when responding to telephone queries.
22. To develop and maintain strong, professional working relationships when communicating with staff and other professionals.
23. To attend and participate in any staff meetings as required.
24. To operate computer systems which are in use, or which may be introduced into the Unit as required.
