My client a prestigious fast growing organisation based in Windsor require an experienced Office Manager to undertake a 12 month fixed term maternity cover contract. As the Office Manager you will be responsible for everything connected to travel, the Windsoroffice space and administration. You will be the first point of call should anyone need any assistance. You will be required to be in the office 4 days a week, with flexibility on the other day.

**Responsibilities**:

- Ensure that all visitors are greeted in a warm, friendly, professional manner. Check schedules so you know in advance who is expected, who they are seeing and why they are here. Greet clients by name where possible.
- Answer telephone after one ring in a professional, helpful and courteous manner and direct the caller as necessary.
- Responsible for the scheduling of meeting rooms
- in Windsor and in external locations.
- Responsible for the setting up of meetings rooms. Checking schedules, organising catering, lunches, making refreshments and ensuring that any equipment needed is supplied.
- Book car parking and taxis for visitors where necessary.
- Ensure the meeting rooms tidy, well stocked and well maintained.
- Responsible for keeping kitchen, post and print rooms well stocked and tidy.
- Sort, date stamp and deliver post.
- Book couriers.
- Sign for all deliveries and distribute.
- Arrange various subscriptions for members of the business and manage renewal dates.
- Update fire evacuation list with new joiners and leavers.
- Responsible for booking office wide travel. Book flights, transfers and hotels and organise prepayments where necessary.
- Arrange visas where necessary and diarize expiry dates.
- Make yourself the point of contact for employees to be available to make changes and resolve travel problems.
- Complete Trusted Traveller Programme or TSA PreCheck for selected employees.
- Responsible for ensuring the Travel Policy is adhered to.
- General administrative for the UK offices, which will include binding and printing presentations, arranging couriers, organising external printing of marketing materials and ordering business cards. Ensure administration is carried out accurately and ina timely manner.
- Notify the office of a prospective client/ client visit. Speak directly to client about transport arrangements
- Responsible for ensuring that the office is well maintained in terms of general appearance, heating, cooling and cleaning.
- Build a relationship and liaise with contractors and suppliers to ensure that any issues are resolved in a timely manner. Suggest changes where appropriate.
- Maintain office related contracts such as plant and water dispensers.
- Maintain the car park spreadsheet, allocate spaces when necessary.
- Responsible for ordering, deleting and auditing swipe keys.

Experience Required:

- Have previously worked in a similar role
- Possess excellent organisational skills and attention to detail
- Excellent communicator
